Position Overview The Office Coordinator & Assistant plays a key role in supporting the day-to-day operations of the corporate office and ensuring a professional, welcoming, and well-organized environment for employees, leaders, and visitors. This position is responsible for office logistics, administrative coordination, event support, and general operational assistance that helps the corporate team operate efficiently. The ideal candidate is highly organized, proactive, detail-oriented, and thrives in a fast-paced corporate setting. This role contributes directly to a positive workplace experience by maintaining operational excellence, clear communication, and strong attention to detail.

Requirements

  • Strong organizational skills with the ability to manage multiple priorities simultaneously
  • Excellent written and verbal communication skills
  • High attention to detail with strong follow-through
  • Ability to handle confidential and sensitive information with discretion
  • Proficiency with Microsoft Office Suite and general office systems; experience with Concur preferred
  • Experience supporting office operations, administrative coordination, or event planning preferred

Responsibilities

  • Maintain common office areas including kitchens, printer stations, and conference rooms by ensuring cleanliness, organization, and adequate supplies
  • Manage office inventory including snacks, beverages, and general office supplies
  • Coordinate conference room scheduling and prepare meeting spaces, including materials and refreshments
  • Answer and route calls on the main office line and ensure timely follow-up
  • Manage daily mail operations including sorting, scanning, and distribution
  • Support office seating changes, relocations, and other office-related projects as needed
  • Coordinate meals and catering for visiting guests, team meetings, trainings, and monthly office lunches
  • Plan and support employee engagement initiatives including holiday decorations, celebrations, and recognition activities
  • Provide logistical support for quarterly leadership meetings and RVPO meetings, including award tracking and certificate preparation
  • Assist with administrative financial processes including check run preparation, postage, shipping labels, and outbound shipments
  • Support Executive travel and reconcile Concur expense reports as needed
  • Maintain and update the corporate directory with accurate employee and community contact information
  • Assist with special company initiatives such as recognition programs by researching, ordering, and assembling supplies and gift package
