About The Position

Under the direction of the Administrative Supervisor, this position is responsible to perform administrative office duties such as; answering incoming calls, copying, scanning, faxing, filing and attending to walk-in members, staff and vendors. The Office Clerk will interact with other departments, clinic personnel, and outside providers in a professional and friendly manner, to create and maintain a positive relationship with our internal and external customers.

Requirements

  • High school graduate or GED certification, required.
  • Typing certification of 40 WPM, required.

Responsibilities

  • Responsible for answering and processing incoming telephone calls in a timely manner utilizing a multi-line telephone system.
  • Responsible for securely forwarding patient medical records to an approved provider on a daily basis.
  • Request medical records from the referring provider’s office when there is lack of supporting clinical documentation to make a determination. Request shall be made by fax or by phone.
  • Ability to attend to walk-in members, clients and staff appropriately and demonstrating good customer service
  • When assigned to the 4570-building reception area, responsible for distributing, maintaining an accurate log and tracking of all elevator access keycards on a daily basis and reporting any missing cards immediately to supervisor
  • Relay authorization status, eligibility, copay information to patients and providers, in a timely manner to comply with health plan, CMS and DMHC regulation timeframes.
  • Verification of member eligibility utilizing EZCAP and/or health plan eligibility websites.
  • Relay new or termed member information to the Eligibility department, in efforts to maintain up to date eligibility information in systems utilized.
  • Ordering of departmental supplies.
  • Processing of daily departmental mail.
  • Periodically deliver departmental mail to the post office.
  • Daily accurate filing of correspondences and/or fax confirmations.
  • To be trained to be efficient in daily sorting and distribution of incoming pending referrals and documentation to the Authorization Clerk team.
  • Demonstrated the ability to fax, scan, print, copy and file using UM systems and/or equipment utilized.
  • Relay messages received regarding incoming stat referrals to the Authorization Clerk team for further processing.
  • Communicate with management when/if difficult situations arise and assistance is needed.
  • Maintain a clean and orderly work area.
  • Maintain assigned duties in an acceptable manner. Keep management abreast if duties fall behind.
  • Demonstrate proficiency in computer systems utilized.
  • Cultural and Linguistics training required annually.
  • All other duties as assigned.
