The Office Associate provides essential customer service, operations, and support for client training.
Assists in the delivery of services to Talent Development Solutions’ client companies, including setting up, maintaining, and updating company files in the computer systems, arranging for training materials to be procured or printed, processing client and facilitator agreements, scheduling deliveries of materials physically or electronically, collects and tracks attendance records, and preparing and processing evaluations and certificates of completion.
Processes requests for client billing and facilitator invoices, including obtaining necessary approvals.
Supports grant work, when assigned.
Coordinates workshop and event logistics when held at a CLC campus or site, including: Reserving rooms and audiovisual equipment Arranging food services as needed Posting directional signage Coordinating room setup (tables and chairs) Preparing materials, name tags, certificates, etc.
Updates and maintains client lists and client files.
Maintains the department’s client and training calendar.
Responds to internal and external inquiries in person, via email and by phone and provides requested information or routes as appropriate. This includes monitoring the department’s general email box.
Registers participants (via email and by phone) for workshops and seminars.
Engages professionally with other CLC departments, staff, faculty and leaders, providing a high quality of customer service to internal customers and partners.
Participates actively in weekly training implementation meetings and periodic staff meetings.
Works in coordination and collaboration with the department facilitators, managers and director.
Sorts and distributes mail.
Monitors office supply inventory and reorders as needed.
Processes and schedules work based on priority to ensure timely completion.
Exercises discretion in handling confidential information.
Assigns and prioritizes work for student worker(s).
May work between remote and office, based on department needs and job performance.
Performs other related duties as assigned.
High school diploma or equivalent.
Minimum of two (2) years of office support or related experience.
Strong working knowledge of Microsoft Word, Excel, Outlook, PowerPoint, Teams and SharePoint.
Good written and verbal communication skills.
Ability to effectively organize and prioritize workload.
Basic understanding of business functions and processes.
Excellent customer service skills.
Highly organized with attention to detail.
Familiarity with Workday or similar enterprise systems.
Exposure to working with grants or grant-funded programs.
