About The Position

ONLY PERMANENT EMPLOYEES IN THE TITLE AND THOSE THAT ARE REACHABLE ON THE CLERICAL ASSOCIATE CIVIL SERVICE LIST ARE ELIGIBLE TO APPLY. Division/Program Summary: The Bureau of Child Care ensures that childcare services in New York City operate in compliance with the New York City Health Code and New York State Social Service regulations and are licensed or permitted as required by law. The Bureau routinely monitors childcare programs to protect the health and safety of children while in the childcare environment and actively works to improve and expand access to high quality programs which support early childhood development and learning. Position Summary: The Clerical Associate/ Office Associate will provide support to the Bureau’s administrative operations.

Requirements

  • A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and one year of satisfactory clerical experience.
  • Keyboard familiarity with the ability to type at a minimum of 100 key strokes (20 words) per minute.

Responsibilities

  • Perform moderately difficult and responsible clerical work in maintaining and checking various records and filing, including scanning documents into electronic file, and support of records management systems.
  • Conduct data entry and data retrieval using excel and other systems across multiple databases to support administrative operations.
  • Assist in filing and tracking of e-Performance documents for employees (e.g., Tasks & Standards/ Evaluation documents).
  • Collect and file documentation for personnel actions (new hires, leaves of absence, promotions and separations).
  • Schedule meetings and interviews, reserve conference rooms, notify participants and send confirmation for public facing activities.
  • Ensure proper storage and handling of confidential information and update databases in accordance with protocols.
  • Liaise with staff and leadership across borough offices, divisions and agency.
  • Assist in special projects and perform other duties as assigned.
