About The Position

The Office Assistant coordinates the daily operations and maintenance of corporate office facilities, ensuring a safe, clean, tidy, and functional environment for our team members, guests, and visitors. Responsibilities and Duties: Demonstrate exceptional customer service to all visitors and callers Greet and direct visitors in a friendly manner to appropriate personnel Maintain an orderly and professional appearance at the front desk and common areas at all times Answer and direct incoming calls and emails professionally and appropriately Coordinate and oversee routine maintenance of corporate office facilities, including lease and price negotiations with office vendors and service providers Proactively seek out and approach any maintenance needs in the office Keep accurate track of Workplace Experience contracts Assist in planning and executing projects related to the corporate office space-planning, such as renovations, relocations, and office moves Ensure timely payments and updating of accounts for Staples, FedEx, and other accounts/vendors as assigned Distribute incoming mail and packages and arrange for same-day couriers Respond to general office inquiries, such as cleaning, temperature, and other service requests Maintain supply and storage of office supplies, including kitchen, cleaning, and first-aid items Properly code invoices to their respective accounts Ensure the timely workspace setup for new corporate office team members Update the corporate office seating charts as appropriate Update and maintain respective announcements and news on Sharepoint Request, edit, and publish videos related to promotions, transitions, and spotlights Support the administration of tenure gifts, awards, and other award and recognition programs Occasionally move packages weighing up to 30 pounds Complete all other duties as assigned by manager Represent the company professionally in all internal and external interactions and communications Adhere to company safety standards Adhere to and promote the Mission, Vision, and Values of Stanley Martin Homes

Requirements

  • 100% On-site role
  • Administrative and office facilities experience preferred
  • Proficient at Intermediate Level in Microsoft Office (including Microsoft Excel and SharePoint)
  • Strong time and task management skills
  • Punctuality and timeliness for attendance and tasks
  • Careful attention to detail
  • Ability to work independently with a proactive approach
  • Excellent written and verbal communication skills
