About The Position

DESCRIPTION OF WORK: This is an in-person, non-remote position Recruitment Range: $45,000 - $50,000 Annually The North Carolina General Assembly is seeking an enthusiastic, motivated, outgoing, and flexible Office Assistant to provide administrative front office support to numerous Legislative offices (nonpartisan and partisan). The primary responsibility of the Office Assistant is to provide office and clerical support as needed to various partisan and nonpartisan offices, ensuring efficient operation and workflow of the office. Job responsibilities may include the following: Receptionist Duties : Serves as the first point of contact to welcome, greet, and direct legislators, staff, and visitors. Daily Correspondence - Answers the telephone, responds to emails, and provides general legislative information to Legislators, legislative staff, and the public. Office Scheduling - Maintains calendars, schedules, and confirms appointments for legislators and staff. Record-keeping - Establishes and maintains filing systems for records and correspondences. Mail Processing - Sorts and distributes incoming mail and materials. Project Assistance - Coordinates and provides assistance on projects as needed. Basic Office Support : Office Equipment - Operates office equipment and new technologies as they are developed and implemented. Supply Management - Manages and dispenses supply inventory. Document Assistance - Makes copies of correspondence and other printed material as requested. Performs other duties as assigned by management authority or Legislator. The Office Assistant will work under the direct supervision of the Human Resources Office, the Legislative Assistant Director’s Office, or under individual division or office management authorities. The work schedule is consistently 40 hours per week, typically between the hours of 7:30 A.M. to 5:30 P.M., but may vary given the office location, Monday through Friday. The position also requires the ability to be extremely flexible, occasionally working extended hours and weekends to meet the needs of the legislative session. Requirements

  • Ability to maintain composure, remain nonpartisan in a political environment, and work cooperatively under pressure with Legislators, legislative staff, and the public on a daily basis.
  • Comfortable speaking face-to-face and on the phone with legislators, staff, and the general public.
  • Ability to maintain confidentiality and to handle politically sensitive work with maturity.
  • Working experience completing and/or maintaining records, reports, and filing systems.
  • Ability to operate a copy machine, scanner, and other office equipment.
  • Willingness and ability to work extended schedules.
  • Considerable knowledge of office practices, procedures, and professional writing, such as grammar and punctuation.
  • Ability to be punctual daily to the arrival of the office.
  • Ability to work independently in an office, prioritize tasks, organize and analyze materials, and make responsible decisions.
  • Graduation from high school or possession of a GED certificate, plus at least two years of related office administrative experience.

  • Customer service experience, including resolving conflicts.
