About The Position

DESCRIPTION OF WORK: Please Note : This is a repost – previous applicants need not apply This is an in-person, non-remote position Recruitment Range: $45,000 - $50,000 Annually The North Carolina General Assembly is seeking an enthusiastic, dependable, and highly motivated professional to serve as a Legislative Services Office Assistant. An Office Assistant provides front office administrative services and support to both House and Senate Legislative Offices and non-partisan divisions. This support position is unique in that it offers the opportunity to work at the branch of government that is responsible for making, revising, and repealing North Carolina laws. The Office Assistant will serve in a non-partisan capacity, meaning not biased or partisan towards one political party while in the office. The primary responsibility of the Office Assistant is to provide receptionist and clerical support for offices in need of daily or weekly coverage, ensuring efficient operation and workflow. The office assignments vary from day to day and/or week to week, offering variety and new challenges. Job responsibilities may include the following: Receptionist Duties Serves as the first point of contact to welcome, direct or assist legislators, staff, and visitors. Office Support Duties Business Communication - Answers the telephone, responds to emails, and provides general legislative information to Legislators, legislative staff, and the public. Drafts and organizes written and verbal communications. Office Scheduling - Maintains calendars, schedules, and confirms appointments for legislators and staff. Mail Processing - Sorts and distributes the office’s incoming mail and materials. Record-keeping - Establishes and maintains filing systems for records and correspondences. Project Assistance - Coordinates and provides assistance on projects as needed. Office Equipment - Operates office equipment and new technologies as they are developed and implemented. Supply Management - Manages and dispenses supply inventory. Document Assistance - Makes copies of correspondence and other printed material as requested. Performs other duties as assigned by management authority or Legislator. The Office Assistant will report directly to the Human Resources Office. When on assignment, the Office Assistant works under either the Legislative Assistant Director’s Office or individual division or office management authorities. The work schedule is consistently 40 hours per week Monday through Friday, typically within the hours of 7:30 A.M. to 5:30 P.M., but hours may vary slightly given the office location. The position also requires the ability to be extremely flexible, occasionally working extended hours and weekends to meet the needs of the legislative session. Requirements

  • Ability to remain non-partisan in a political environment.
  • Ability to maintain composure and work cooperatively under pressure with Legislators, legislative staff, and the public on a daily basis.
  • Comfortable speaking face to face and on the telephone with legislators, staff, and the general public daily.
  • Ability to work independently in an office, prioritize tasks, organize and analyze materials, and make responsible decisions.
  • Experience with creating and updating documents in Microsoft Word and Excel.
  • Ability to maintain confidentiality and to handle politically sensitive work with maturity.
  • Working experience completing and/or maintaining records, reports, and filing systems.
  • Ability to operate a desk phone, copy machine, scanner, and other office equipment.
  • Considerable knowledge of office practices, procedures, and professional writing, such as grammar and punctuation.
  • Willingness and ability to work extended schedules.
  • Ability to be punctual daily to the arrival of the office.
  • Graduation from high school or possession of a GED certificate, plus at least two years of related office administrative experience.
