Office and Inventory Specialist will perform professional customer service focused duties to include: stationery ordering, receipt, and delivery (business cards, letterhead, envelopes, memos, name plates, etc.), printed project processing; incoming and outgoing mail processing, the order, receipt, organization, and delivery of printing supplies and/or materials, office supplies, etc. Receives, stores, and distributes stocks of office supplies according to county needs. 20.63 - 24.27 - 29.25 USD Hourly

Requirements

  • High School Diploma or GED, and four (4) years work experience in a central store/stockroom environment, warehouse, inventory control, office or administrative capacity or government setting with direct customer interactions.
  • Any equivalent combination related to education and/or experience may be considered for the above requirements.
  • Employee must successfully complete the post offer-employment medical examination and background investigation.
  • Employee must comply with the safety guidelines of the County.
  • Employee must have a valid New Mexico driver’s license by employment date and maintain a valid NM driver’s license while employed in this position.
  • Employee must become and maintain NM Notary license while employed in this position.
  • Employee must complete required FEMA training(s) as assigned to position.

Responsibilities

  • Deliver completed printing products, to include stationery (business cards, letterhead, memos, forms, name plates, etc.), non-complicated flyers, brochures, handbooks, etc.
  • Print, bind, fold and/or laminate printed materials upon request.
  • Track printing materials and office supply levels and maintains systematic inventory databases (Mailshift, SAP, Just-in-time, Onvoy).
  • Orders, receives, and stores office supplies.
  • Prepare County related mail, parcels, and packages for shipping.
  • Receives incoming materials, supplies and equipment and verifies accuracy of shipment and will process, sort and deliver all incoming mail, parcels, and packages.
  • Operate and troubleshoot printing and mail processing equipment.
  • Prepare and maintain a variety of records, logs and files related to the business operation.
  • Inspect incoming deliveries and shipments to ensure items are in acceptable condition, prior to delivery and record damages or defects; notifies supervisor and/or purchasing personnel of same.
  • Prepare documents for scanning and perform quality control measures to ensure accuracy of imaging.
  • Performs clerical duties related to maintaining stock inventories; may operate a computer terminal.
  • Ensures customer satisfaction and positive rapport with vendors.
  • Maintains all business machines within the county.
  • Provides professional and customer focused service to employees and promotes a helpful and professional image of the Business Center services to employees and external customers.
  • Prioritize duties and performs accordingly and ensures urgent deliveries are handled immediately.
  • Incumbent(s) in this classification may handle sensitive and/or confidential records, plans, documents or decisions that require maintaining confidentiality of sensitive information.
  • Perform other job-related duties as required or assigned.
