About The Position

This position is foremost responsible for providing administrative support to the areas of Office Administration and Closing Administration. This position will be the culture driver of the workplace, ensuring daily functions run smoothly while fostering a positive, productive environment. Serving as the office “captain” and morale champion, this role promotes team engagement, maintains strong communication, and helps cultivate an energized, supportive atmosphere.

Requirements

  • High School diploma
  • Minimum of 2 years office administration, real estate closings, or legal experience.
  • MS Office, MS Excel, MS Power Point, AI, Internet and other computer related programs.
  • Highly organized, creative, self-motivated, and a can-do attitude.

Nice To Haves

  • Spanish language skills helpful.

Responsibilities

  • Provide Local HR Support (employment law posters, new hire paperwork, etc.) including on-boarding coordination of new team members.
  • Maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
  • Lead and coordinate with other office support associates on company events such as community volunteer, teambuilding and affiliate wide meeting events.
  • Ensure operation of equipment, preventive maintenance, troubleshooting malfunctions, calling for repairs, and maintaining equipment.
  • Serve as liaison between Smith Douglas and Landlord regarding office maintenance needs.
  • Administrative support for Division President.
  • Crosstrain and assist with other Departments as needed.
  • Other responsibilities to support Land, Sales, Construction, and Purchasing as directed by Division President.
  • Manage all Customer closings
  • Provide accurate updates and reporting on close of escrow commitments
  • Set closing dates
  • Manage backlog meetings between Sales and Construction and provide updates on closings. .
  • Review and monitor the financing obligations for homeowner contracts.
  • Execute contract non-compliance communications and procedures.
  • Issue reporting on future closings and elevate closing risks to appropriate team members for timely resolution.
  • Monitor and evaluate the closing experience for our homeowners.
  • Maintain constant communication with Lenders and closing Attorneys.
  • Crosstrain and assist with sales contract administration as needed.
  • Other responsibilities as directed by Division President.
