We are looking for a reliable, hardworking Office Administrator to support daily operations in a fast-paced construction environment. This role is 100% on site and is ideal for someone who has worked in the construction industry in some capacity and is interested in growing into an operations, project coordination, or accounting support role over time. The right candidate will be organized, detail-driven, and comfortable juggling administrative tasks that directly support field crews, project managers, and leadership.

Requirements

  • Prior experience working in or around the construction industry preferred
  • Strong organizational skills and attention to detail
  • Willingness to learn accounting and operations processes
  • Ability to manage multiple priorities in a deadline-driven environment
  • Professional communication skills and team-oriented mindset
  • Dependable attendance and strong work ethic
  • Experience with Microsoft programs such as outlook, excel, word and sharepoint
  • Possess all auditory, speaking and communicating capabilities
  • Physical requirements: sitting, standing, walking, bending, twisting, climbing, pushing, pulling, lifting up to 25 lbs., seeing and reading

Responsibilities

  • Answer incoming phone calls and direct inquiries to the appropriate team members
  • Monitor and manage the company information email inbox
  • Maintain and update internal phone and contact lists
  • Pick up and distribute incoming mail from the company PO Box
  • Order office and field supplies and maintain inventory
  • Collect, track, and reconcile American Express receipts and statements
  • Maintain organized filing systems for project work orders and invoices
  • Assist with Accounts Receivable and Accounts Payable documentation and filing
  • Support preparation and processing of certified payroll reports
  • Support admin related needs for various department heads
  • Track vehicle tags, renewals, and related documentation
  • Assist with general project administrative needs
  • Help ensure records are accurate, current, and audit-ready
