Our client is a well -established global engineering and manufacturing organization seeking a proactive and highly organized Office Administrator to support multiple departments across the business. This is a dynamic, hands -on role ideal for someone who enjoys variety, thrives in a collaborative environment, and takes initiative to step in where support is needed most. This position plays a critical role in ensuring smooth daily operations while supporting teams across sales, operations, facilities, and administration. The role is expected to evolve over time based on the individual’s strengths and interests. Position Overview The Office Administrator provides general administrative support across the organization and assists departments during peak workload periods or when coverage is needed. While tasks may vary, the goal is to ensure efficiency, organization, and clear communication across teams. Requirements

  • Strong proficiency in Microsoft Word, Excel, and PowerPoint (advanced formatting skills highly valued)
  • Highly organized with strong attention to detail

Responsibilities

  • Coordinate daily office operations, including supplies, equipment, and general workplace needs
  • Serve as first point of contact for visitors, calls, and general inquiries
  • Manage internal communications and information flow between departments
  • Track and record PTO requests
  • Arrange travel and accommodations for team members and visitors
  • Support preparation of presentations, documents, and internal materials
  • Assist sales leadership and team members with administrative needs
  • Help prepare customer presentations and documentation
  • Coordinate logistics for customer visits and meetings
  • Assist with vendor inquiries and communications
  • Support audit preparation by gathering documentation when requested
  • Maintain inventory data and assist with order tracking
  • Follow up on open orders to ensure timely delivery and accuracy
  • Schedule facility maintenance, repairs, and service appointments
  • Track upcoming service deadlines and coordinate with contractors
  • Support insurance renewals, compliance tracking, and operational reminders
