About The Position

The Office Administrator is responsible for providing administrative support to ensure efficient operation of the office. Supports managers and employees through a variety of tasks related to organization and communication. Responsible for confidential and time sensitive material. Familiar with a variety of the field's concepts, practices and procedures. Ability to effectively communicate via phone and email ensuring that all duties are completed accurately and delivered with high quality and in a timely manner.

Requirements

  • Excellent verbal and written communication skills.
  • Thorough understanding of managing administrative duties and practices.
  • Excellent interpersonal and customer service skills.
  • Excellent organizational skills and attention to detail.
  • Strong analytical and problem-solving skills.
  • Strong proficiency in MS Excel.

  • Experience in construction, paving or asphalt desired.

Responsibilities

  • Greet walk-in customers and answer phones.
  • Assist with project bids, change orders and correspondence.
  • Review payroll timesheets for job numbers; accuracy; logs time into projects.
  • Develop and update jobs obtained report on a daily basis.
  • Support sales staff
  • Compares purchase orders/order acknowledgements for accuracy.
  • Generates emails, memos, proposals, change orders as requested.
  • Municipality projects - securing plans, securing bid, performance & payment bonds, invoicing, etc.
  • Accounts payable support- entering invoices
  • Assit HR/Safety with onboarding
  • Entering all awarded projects into QuickBooks, updating all project status in Pavement Soft.
  • Training of new employees on phone, tablet usage
