Requirements

  • High school diploma or general education degree (GED), six (6) months to one-year related experience preferred, or equivalent combination of education and experience.
  • Ability to speak effectively to residents, visitors and other employees.
  • Customer service and high exposure are essential functions.
  • Accuracy in documentation is essential.
  • Must have high organizational skills.
  • Must be able to practice discretion in various situations.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to compute rate, ratio, and percentage and to draw and interpret bar graphs.
  • Ability to apply common sense understanding to conduct instructions given in written, oral, or diagram form.
  • Ability to deal with problems involving several concrete variables in standardized situations.
  • Must be computer literate.
  • Must have experience with Kronos/UKG

Responsibilities

  • Complete a master staffing schedule ensuring all schedules are confirmed with written entry on daily staffing sheets, and that all units are properly staffed with proper numbers of licensed staff, i.e., RNs, LPN, CNAs, Med Techs, etc.
  • Prepares 4-week schedule for all Nursing staff, for all three shifts using scheduling software or other calendar/scheduling applications.
  • Distributes individual and unit schedules.
  • Prepare staff vacancies reports on a weekly basis.
  • Prepare daily staffing sheets for all three shifts.
  • Copies and posts on all units.
  • Keeps all changes up to date.
  • Replace all call-offs.
  • Notify Nursing Supervisors of any changes or call outs on their respective unit.
  • Keeps record of staff vacations for scheduling.
  • Ensure coverage for all staff leave requests.
  • Keeps Holiday sign-up sheets for holiday schedules.
  • Maintain correct telephone rosters for nursing staff.
  • Answer incoming calls as needed.
  • Receptionist duties as needed.
  • Provide assistance during mealtimes.
  • Confirm date and completion of performance review with Charge Nurse.
  • When appraisal is completed by Charge Nurse sends original to DON.
  • Records dates of completed performance appraisals.
  • Checks payroll hours periodically over the two-week period.
  • Computers bi-weekly punch details for nursing staff payroll.
  • Keeps record of scheduled PTO hours, unscheduled PTO hours, number of call-off incidents.
  • Keeps track of missed punches and corrects exception reports when necessary.
  • Distributes paychecks every other Thursday to nursing staff and accompanying memos.
  • Keeps payroll changes up to date: Terminations, LOA beginning date/return dates, change of working hours, change of status.
  • Maintains attendance record on each nursing employee.
  • Maintains professional presence when representing Ingleside; exhibits degree of professionalism consistent with standards in performance, behavior, and appearance.
  • Always maintain resident confidentiality and privacy according to policies and procedures; uses discretion when discussing confidential matters.
  • Demonstrates courteous and cooperative behavior with residents, families, co-workers, subordinates, supervisors, and other department staff.
  • Maintains positive working relationships with management and coworkers; willingly follows directions and requests as appropriate.
  • Exhibits professional standards through appearance and demeanor consistent personnel standards.
  • Demonstrates a thorough knowledge of work assignments and performs in a manner to meet quality and timeliness objectives.
  • Demonstrates knowledge and understanding of policies and procedures; seeks clarification or interpretation from proper supervisor when needed.
  • Uses tactful, diplomatic communication techniques in all relations with others.
  • Demonstrates professional development/skills competency in all activities.
  • Participates in in-service, projects, or committees as time permits.
  • Maintains all certifications necessary for employment.
  • Demonstrates flexibility, open mindedness, and versatility in adjusting to changing environments and requirements, as necessary.
  • Commit to continually improving his/her skills through participation in education opportunities whether offered on the job, within, or outside of the community, to increase knowledge of work-related issues.
  • Maintains a current knowledge of federal, state and other regulations applicable to jobs.
  • Comply with Ingleside at Rock Creek’s established safety rules and practices.
  • Comply with applicable safety policies and procedures as prescribed by the organization, as well as government regulations.
  • Reports any potential safety hazard(s) immediately to supervisor or other proper personnel.
  • Report any injury of resident, visitor, or employee immediately to supervisor or other proper personnel.
  • Provide assistance to residents, visitors, or employees in an emergency, following the proper emergency procedures.
