About The Position

This Per Diem position involves varied hours and shifts based on operational needs within the Beth Israel Lahey Health (BILH) team. The role operates under the general direction of department leadership and is responsible for utilizing the Kronos time and attendance system to manage advanced master scheduling for the assigned department. Key functions include creating schedules, filling vacancies, performing data entry for Kronos changes and updates, reviewing staffing sheets to ensure proper coding for UET/Reserve/Floating, and reviewing payroll for excessive overtime. The specialist also assists with data collection for departmental financial indicators and staffing-related data, creates and maintains spreadsheets, performs various clerical duties, and provides administrative support as needed. The role requires strong organizational and interpersonal skills, good telephone etiquette, time management abilities, and the capacity to perform accurate work and handle stressful situations.

Requirements

  • Computer skills - Word, Power Point, Excel, graphics and spreadsheets
  • Experience in healthcare environment
  • Previous experience in secretarial/business support role
  • High School graduate with ability to read, write and perform math at the 12th grade level
  • Computer competency exam required
  • Strong organizational skills
  • Demonstrates and documented strong interpersonal skills
  • Good telephone etiquette
  • Demonstrates appropriate time management skills
  • Ability to do accurate and precise work
  • Vaccinated against influenza (flu) as a condition of employment

Nice To Haves

  • Experience with scheduling in a healthcare environment

Responsibilities

  • Utilizes Kronos time and attendance system to maintain appropriate procedures for implementation of advanced master scheduling for the assigned department
  • Creates schedules and fills scheduled vacancies
  • Data entry of all Kronos changes/updates
  • Staffing sheet review and entry of all changes to insure UET/Reserve/Floating is appropriately coded
  • Reviews payroll for excessive overtime
  • Assists with data collection for presentation of department financial indicators and staffing related data
  • Creates and maintains spreadsheets as needed
  • Perform variety of clerical duties
  • Work well in stressful situations
  • Assist with administrative duties as needed
