About The Position

The Maine Army National Guard-Medical Detachment requires a Non-Clinical Medical Case Manager to assist in performing medical readiness reviews of Soldier Treatment Records as part of the Maine Army National Guard Individual Medical Readiness (IMR) program.

Requirements

  • Associate Degree in Healthcare/Nursing.
  • Knowledge in: Medical terminology, Clinical documentation, Healthcare workflows, Privacy and compliance standards (HIPAA, PHI handling), and Basic anatomy and physiology.
  • Knowledge of Army Medical Regulations.
  • Minimum of 1–3 years of experience in medical administration, case management support, medical readiness operations, or healthcare documentation.
  • Ability to handle sensitive communication and information.

Nice To Haves

  • Prior experience working with military medical readiness programs (IMR, PHA, SRP) strongly preferred.
  • Experience working with Service Members, veterans, or federal healthcare systems is advantageous.

Responsibilities

  • Review privacy rights with each Service Member (SM) and explain how their information can be shared.
  • Obtain signed DD Form 2870, Release of Information (ROI), from SMs to retrieve medical records from civilian sources; use VA-specific Release of Information form for VA records.
  • Access MHS GENESIS to retrieve active-duty medical notes for medical case management purposes.
  • Review electronic DoD systems (MEDPROS, eCASE, medical readiness portals, behavioral health portals) to identify non-deployable Soldiers.
  • Review all open cases every 21 calendar days to ensure proper tracking, management, and communication.
  • Conduct interviews with Soldiers via telephone or in person and record the communication in the eCase module within three (3) business days.
  • Label all documentation and charting as MEDPROS Posted after uploading information into the appropriate DoD electronic system.
  • Record, track, and document Service Member interviews and interactions in the Medical Data for Care History and Readiness Tracking (MEDCHART) applications within 15 calendar days of the interaction.
  • Follow-up input into the Medical Operational Data Systems (MODS) from Periodic Health Assessment (PHA) and Soldier Readiness Processing (SRP) events within 30 calendar days of the event.
  • Adhere to all regulations and policies applicable to Individual Medical Readiness (IMR) and deployment, including AR 40-501, Army Directive 2018-22, DODI 1332.45, HQDA EXORD 054-17, and CENTCOM MOD 16.
  • Ensure compliance with all Health Information Portability and Accountability Act (HIPAA) standards and complete a HIPAA certification course annually.
  • Attend and provide the required services at all Medical Readiness Events (MRE) and Soldier Readiness Processing (SRP) events.
  • Scan and index all medical documents received, label them as MEDPROS Posted, and return them to the MEDCOM medical records custodian.
  • Generate and provide any new system-generated reports as new DoD systems or software with reporting capabilities become available.
  • Monitor and track the medical status of all assigned Soldiers.
  • Coordinate and schedule profile examinations, evaluations, and audiology exams at the designated periodic health examination facility.
  • Coordinate Soldier treatment plans with the appropriate medical facilities.
  • Review the automatically generated referral list from MEDCHART DoD systems daily following each Medical Readiness Event (MRE).
  • Address referrals by scheduling follow-up appointments with an Army medical provider.
  • Communicate with Soldiers to gather information for their case management files and ensure that referrals made by providers are properly followed up on.
  • Oversee the Soldiers care from the initial identification of the condition through to the point where the Soldier is either deemed medically ready and returned to duty or administratively separated from the military.
  • Inform and educate Soldiers about the resources available to enhance their medical and dental readiness.
  • Review and monitor health assessment lab results, contact Service Members (SM), and provide education on lifestyle modifications to improve their health and readiness.
  • Update the Medical Operational Data Systems (MODS) as required with information on immunizations, pregnancy status, eye examinations, and medical warning tags.
  • Monitor medical appointments by coordinating with the Service Member's unit to confirm attendance and ensure the submission of follow-up documentation.
  • Generate and deliver the MEDPROS MRC3/MRC4 report to the DSS no later than five (5) days following the event.
  • Regularly monitor MEDPROS to verify that all scheduled services are completed, updated, and that the current medical status of Service Members is accurately reflected.
  • Provide liaison services and coordinate with the DSS on the most difficult case files.
  • Ensure that Soldiers with P3 or P4 profiles are promptly brought to the attention of the State Surgeon Office or their representative, typically the DSS, to ensure Integrated Disability Evaluation System (IDES) referrals are tracked.
  • Ensure the timely and accurate mailing of all medical records to and from mobilization sites, completing the process no later than 30 calendar days prior to the Soldiers report date.
  • Possess comprehensive knowledge of and provide assistance with all aspects of Case Management operations and procedures.
  • Prepare medical documentation for Line of Duty (LOD) investigations for assigned units in coordination with Health Service Support (HSS).
  • Input individual vouchers or events for Service Member (SM) Individual Medical Readiness (IMR) requirements into the QTC Reserved Health Readiness Program when a Soldier misses a Medical Readiness Event (MRE) or Soldier Readiness Processing (SRP).
  • Coordinate with Health Service Support (HSS) to guide Soldiers through the medical board process.
  • Complete DD Form 771 and input the information into the Spectacle Request Transmission System (SRTS) to order glasses for deploying units.
