About The Position

We are seeking a National Operations Assistant in Miami, FL with a salary range of $45,000–$60,000 per year, depending on experience. This full-time, in-office position requires 2+ years of experience in administrative, operations, or facilities support within a professional services environment. The National Operations Assistant will support daily corporate and operational functions for an established national law firm headquartered in Miami, FL. This role is based onsite in Miami and plays a critical part in coordinating credentialing, facilities support, mail services, equipment tracking, and administrative coverage across multiple offices. Candidates must be detail-oriented, tech-savvy, and able to manage responsibilities efficiently in a fast-paced Miami corporate setting.

Requirements

  • 2+ years of experience in administrative support, operations, or facilities coordination.
  • Strong familiarity with office technology platforms, web-based systems, and shipping software.
  • High attention to detail and ability to follow established processes consistently.
  • Excellent organizational skills with the ability to manage multiple priorities.
  • Professional communication skills and customer-service mindset.
  • Ability to work independently while supporting a broader national operations team.
  • Must be local to Miami, FL and available for full-time, in-office work.

Responsibilities

  • Set up, manage, and troubleshoot user credentials and password resets across multiple platforms (e.g., shipping systems, court portals, legal research tools, and internal systems).
  • Monitor and track FedEx and other shipment activity for operations and IT teams in Miami, FL.
  • Sort, distribute, and organize incoming mail at the Miami corporate office.
  • Maintain office supply levels, including Ricoh toner and general administrative inventory.
  • Coordinate logistics for office furniture, storage boxes, kitchen supplies, and general facility needs in Miami.
  • Assist with relocation, setup, and reconnection of office equipment.
  • Process and track returned equipment from former employees across national offices.
  • Respond to facilities-related requests and provide front desk coverage and overflow phone support as needed.
