About The Position

Prepares or coordinates in the preparation of special reports and records. Responds to public requests for information, performs data entry and maintains files, plans assignments, processes transactions and information, maintains communication with other departments and/or agencies, and other duties as required.

Requirements

  • Applicant will be subject to a complete background investigation. Incomplete, inaccurate and/or failure to report information will cause the applicant rejection from consideration.
  • Applicant must take and pass a pre-employment drug test administered by the City of Edinburg at the City's expense.
  • Must have a current valid class "C" driver's license from the Texas Department of Public Safety with a satisfactory driving record.
  • High school diploma, G.E.D. or equivalency.
  • Two (2) years of clerical experience
  • Knowledge of appropriate laws, policy or procedures dependent on circumstances.
  • Knowledge of court proceedings.
  • Knowledge of city practices, policy and procedures.
  • Skill in oral and written communication.
  • Skill in handling multiple tasks and prioritizing.
  • Skill in using computers and related software, such as: Microsoft Windows environment; includes Excel, Word, Publisher, database management and record keeping.
  • Skill in data analysis and problem solving.
  • Ability to handle hostile or difficult customers.
  • Ability to retain knowledge of historical laws and procedures.
  • Ability to perform basic mathematical calculations.
  • Ability to use document scanners and related software applications.
  • Ability to communicate effectively with diverse groups of individuals utilizing tact and diplomacy.
  • Ability to establish and maintain good working relationships with other City employees and the public.
  • Ability to exercise discretion in confidential matters.
  • Normally performs the duty assignment after receiving general instructions as to methods, procedures, and desired results.
  • Work requires the use of standard technical skills appropriate to the work environment of the organization.

Nice To Haves

  • Bilingual English/Spanish preferred.
  • Community College, vocational business, technical, or correspondence school certificates are likely sources.
  • Two (2) year of experience in Municipal Court function.

Responsibilities

  • Responds to customers regarding legal options to satisfy cases, including fines, trials or hearings, drivers safety, deferred dispositions, warrants, extensions, posting of bonds, filing motions, public information requests and others as appropriate to criminal and administrative case types.
  • Updates case files in the Court's case management system as contact is made with customers, judges, prosecutors, defense attorneys, witnesses and others.
  • Generates complaints (official charging instruments), prepares summons and subpoenas, and prepare paperwork such as defendants histories for use at appearance dockets and coordinates with law enforcement.
  • Coordinates trials and appearances with prosecutor and judge their availability to schedule hearings, trials, and appearances on dockets.
  • Monitors cases for compliance, process cases in accordance with legal requirements, and prepares documentation for judges and prosecutors.
  • Assists with the preparation of magistrate paperwork, creates and maintains docket book.
  • Processes and maintains: Bond Reductions, Protective Orders, Motions to Dismiss & miscellaneous motions.
  • Prepares Show Cause Hearing Dockets, driving safety courses, extensions and community service cases.
  • Performs related work and reports as assigned.
  • Performs general and specialized office clerical work.
