About The Position

Works under the supervision of the Financial Reporting Manager and the Municipal Court Judges and is reviewed for compliance with established procedures while working, and through review after tasks completion (also subject to defendant complaints). Performs routine secretarial, clerical and receptionist duties for Municipal Court; maintains and updates electronic and hard copy files for Court records; receive and arranges for court assessed fines and payments. Arraigns defendants when the judge is unavailable. Supervises front office staff.

Requirements

  • High school diploma or GED.
  • At least two years of work experience in a clerical or professional position that would enable the individual to perform the duties of the position.

Nice To Haves

  • Previous experience in a legal or court setting with some education or training in bookkeeping.
  • Advance user of Microsoft Excel, Word and Outlook.

Responsibilities

  • Assist the public at counter and by phone to provide information about procedures and requirements of the disposition of cases filled in Municipal Court.
  • Prepares court dockets for all trials, including juror summons, notices and correspondence, Circuit Court Appeals.
  • Attend court sessions on the scheduled court dates to aid the Judge, prosecutor, attending attorney and defendants.
  • Answering questions about fines, court paperwork, retrieving court documents for pleas and trials.
  • Assist the citing officers with questions and concerns regarding cases that may have been rescheduled or defendants that have appeared for their case.
  • Assess fines and cost when a defendant has pleaded to charges or has been found guilty.
  • Enter court dates into the system on cases that have been rescheduled or have a status hearing.
  • Deliver court disposition and all necessary paperwork to Deputy Court Clerk to make copies for the defendant, attorneys and witnesses.
  • Maintain confidentiality with regards to all court documents/records.
  • Process administrative dismissals for customers based on standing orders issued by the Presiding Judge.
  • Create cases in FULLCourt Software system with citations and cases that the court receives from the citing officer and scan citation or case file into the document management.
  • Update case files as contact is made with customers, judges, prosecutors, defense attorneys, witnesses, and others.
  • Order supplies and forms for court use.
  • Review and monitor budget.
  • Request any adjustments for overages when needed.
  • Prepares, approves and submits all purchase order requests for accounts payable and P-card transactions.
  • Complies data/information and tracks/monitors for performance measures and/or reports for Finance Department on all monetary payments at month-end.
  • Arraign defendants who have been arrested, process paperwork and establish bond amounts for defendants to post to be released.
  • Oversee the Collection process to ensure that all means of collecting delinquent accounts are being adhered to in a timely manner.
  • Process and comply with all expungement orders.
  • Scan order and all documents pertaining to the expungement order into the court SharePoint.
  • Other duties as assigned.
  • Supervises Court Staff and assists with all issues and concerns, including coverage of various shifts.
  • Knows how to use computer hardware and software including Microsoft Office, email, accounting software, and internet browser programs.
  • Ability to work independently and accomplish assigned tasks with minimal supervision.
