Role Purpose/Position Summary The associate is responsible for managing the maintenance parts department which includes purchasing, parts staging, receiving and issuance, as well as inventory of maintenance materials to support the maintenance team activities. Purchasing Responsibilities Purchase all parts for equipment and facilities repairs. Key Accountabilities/Primary Duties & Responsibilities Negotiate cost and delivery of parts and production supplies. Work with vendors to resolve order and accounting discrepancies. Identify opportunities of parts fabrication versus OEM parts purchase. Enter and receive all purchase orders. Outsource parts from OEM and establish 2nd tier suppliers. Coordinate the set-up of new vendors with accounting. Run reports for supervisor/plant manager for monthly P&L report. Purchase & receive all production supplies and equipment, janitorial supplies, uniforms and safety supplies. Purchase & receive all Capital Projects and enter all orders into database. Ensure purchasing spending approvals are completed per established guidelines. Process credits and return parts shipped incorrectly or damaged. Follow up with vendors on all back orders. Order and receive chemicals and lubricants. Order all maintenance shop supplies. Set up preventative maintenance service calls. Coordinate service technicians when outside help is needed. Provide financial forecasting updates to supervisor/accounting as requested. Code and process invoices for payment. Perform other duties as required by Management. Inventory Responsibilities Label and barcode all maintenance parts. Verify shipping documentation to shipments for incoming parts and materials. Perform cycle counts and physical inventory when necessary. Maintain inventory database up to date by adding new parts and/or removing obsolete parts. Pull all parts out of Inventory that are needed for major rebuilds. Kit parts as needed to meet needs of PM program. Track parts used for projects as requested. Add associated part numbers to assets, pm, and wo’s within CMMS system. Organize and maintain all files and equipment manuals. Run reports to track parts/usage. Perform training of maintenance system as needed across all facilities as requested. Develop purchasing and inventory SOPs for maintenance personnel as requested.
