About The Position

Oversees the logistics, staffing, and operations of the mobile medical unit (MMU) with the help and direction of the Regional Manager of GROW. Utilizes organization, leadership, and communication skills to ensure efficient delivery of high-quality medical services to patients in multiple diverse community settings and meet established goals. Ensures services adhere to legal requirements and identify potential issues proactively. Help to achieve and maintain a pleasant environment to work in. Provide an atmosphere of high work ethics to support the providers and patients to the best of our ability. Requirements

  • Associates degree in business administration or related field preferred. Equivalent medical office or business office setting of a minimum of four year years experience or appropriate education may be substituted.
  • Typing ability of 40 wpm.
  • Proficient with Microsoft Outlook, Word, Excel and ability to work with multiple computer screens and computer systems.
  • Knowledge of medical terminology, medical office procedures, medical coding and billing, and Medicare, IL Medicaid, commercial insurance plans in the insurance industry.
  • Knowledge of grammar, spelling and punctuation to type correspondence.
  • Skill in operating a computer and photocopy machine and basic office equipment.
  • Ability to read, understand, and follow oral and written instruction.
  • Ability to sort and file materials correctly by alphabetic or numeric systems.
  • Ability to speak and communicate clearly and concisely.
  • Ability to establish and maintain effective working relationships with patients, employees, organizations, and the public.
  • Ability to recognize, evaluate, troubleshoot, and solve and correct problems and errors.
  • Knowledge of compliance of government regulations for daily operations.
  • Ability to multitask efficiently.
  • Willing to travel in order to manage alternate locations.

Responsibilities

  • Maintains confidentiality at all times.
  • Assists in mobile medical unit operations, services, compliance, and maintenance of unit on a daily basis.
  • Is a liaison between staff working on the mobile medical unit and clinic staff.
  • Oversees the cleaning/housekeeping duties of staff ensuring proper cleanliness of the mobile medical unit.
  • Keeps a daily log of activity each operational day of the mobile medical unit.
  • Responsible for managing, compiling, and ordering clerical, clinical, and pharmaceutical supplies and ensuring purchases are within supplies expense budget.
  • Prepares monthly calendar of events, employee work schedules, absences, birthdays, vacations, etc.
  • Coordinates staff coverage when scheduled staff are not able to work to ensure the mobile medical unit can function appropriately.
  • Keeps track of employee attendance, illness, illness reports, and any occurrences in attendance and documents in the Department Manager Binder in Department Manager shared drive for GROW.
  • Assists with payroll for the staff of the mobile medical unit.
  • Prepares deposits at end of the day and gives to GROW manager for tracking & final processing.
  • Reviews invoices for accuracy, codes for corresponding financial expense account category, and forwards to the Regional Manager.
  • Reviews applicants, corresponds to applicants, schedules and attends interviews for applicants.
  • Develops, reviews, and assists with any changes of the mobile medical units Policies and Procedures.
  • Compiles provider hours and patient visits for each month.
  • Oversees inspection reports for weekly, monthly, annual checks such as furniture, pharmacy, and other logs to be kept.
  • Oversees that expired medication and supplies are being discarded in accordance with GAH policies and procedures.
  • Manages vehicle maintenance schedules and equipment readiness coordinating maintenance and equipment repairs and upkeep.
  • Builds and sustain relationships with community organizations, local health departments, and outreach partners.
  • Coordinates with event organizers, local clinics, and agencies to schedule mobile health visits and community events.
  • Represents Gibson Area Hospital and GROW in community meetings and health fairs to promote mobile services.
  • Attends Gibson Area Hospital manager meetings per Regional manager’s requests.
  • Monitors annual emergency action drills and helps compile mobile medical unit hazard report.
  • Updates employee organizational chart and emergency employee call lists as needed.
  • Maintains employee personnel files, licensure, certifications such as CPR, N95 annual mask fittings, health registry checks, and other pertinent documents.
  • Coordinates staff assignments, onboarding, and training needed.
  • Compiles and completes performance evaluations for hourly staff with the direction of the Regional Manager.
  • Monitors employee healthstream assignments to ensure staff have completed in a timely manner.
  • Informs Regional Manager of any equipment, supplies, or other purchases that need to be included in the annual GROW budget compiling.
  • Prepares any check requests or employee reimbursement requests and submits to regional manager for approval and approval process.
  • Responds to needs, complaints, or praises made regarding operations and/or staff of the mobile medical unit.
  • Assists with posting and monitoring clinic website and facebook page in regards to the mobile medical unit.
