Position Summary: Oversees newly centralized system-wide Release of Information (ROI) processes within the Health Information Management (HIM) Department, ensuring they adhere to HIPAA and other regulations. Serves as key internal and external contact for ongoing regulatory and payer medical record audits. Provides oversight for designated regulatory audit activity throughout HHC HIM. Oversees and monitor payment protocol through Bank of America (BOA) lock box/CashPro, to process payments for record copies. Ensures team provides quality and timely customer service.

Requirements

  • Minimum: Associate degree in Health Information Management or Technology.
  • 1-2 years management experience in a Health Care setting.
  • Knowledge of release of information regulations, both Federal and State.
  • RHIT (Registered Health Information Technology)
  • Communicate orally and written effectively and professionally with customers to obtain desired results
  • Ability to read, write and interpret policies
  • Develop and present reports to key stakeholders
  • Superior communication and customer service skills required to work across HHC system, to effectively partner with both internal and external customers.
  • Strong quantitative, analytical and problem solving to make appropriate and timely decisions.
  • Ability to work in a fast-paced environment
  • Strong computer skills with proficiency in MS Office suite, experience managing & tracking database.
  • Maintain a high level of professional integrity and confidentiality.
  • Excellent organizational skills to balance multiple priorities of highly detailed information.
  • Familiar with State and Federal Regulations and laws regarding regulatory audits.
  • Direct resources efficiently and effectively to achieve goals and objectives.
  • Manage change in a complex and constantly evolving.
  • Ability to motivate others, encourage employee engagement & problem-solve.

Nice To Haves

Responsibilities

  • Demonstrates the ability to interpret and adhere to established policies and procedures related to HIPAA and adheres to all applicable HIM Departmental policies. Ensure compliance with Joint Commission/State/Federal and other regulatory agencies regarding health information.
  • Monitor - Special requestor, which are top priority and time sensitive; Centers for Medicare & Medicaid Services (CMS) Recovery Audit Contractor (RAC), Executive Health Resources (EHR), appeals and legal requestor(s), National Government Service (NGS),
  • Livanta and Legal request are process timely. Ensures prompt completion and retrieval of medical records. Reference HIM ROI BOA lockbox 419394 report to monitor payment transactions.
  • Communicates – Provides performance feedback, orientation and training for new employees and evaluations to ROI Specialist. Manage workflow among employees to ensure maximum productivity and quality standards are met. Prioritized work to ensure completion of ROI function. Performs quality Assurance monitoring of work performance for ROI Specialists. Conducts team meetings to promote team engagement. Provides direction and oversight to subordinates. Participates in staff recruitment, hiring and department orientation.
  • Education – Participates in professional development activities, including keeping current with trends and best practices in health information management, updating HIM policies and procedures, personal leadership and management development. Develop and maintain strong working relationships with leadership in order to represent HIM in department and committee meeting as required. Provide guidance to hospital staff, when appropriate.
  • Promotes change management within a fast-paced environment, shares resources most cost-effectively and continually strives to improve the quality and productivity of the Release of Information Unit.
  • Performs QA review of the correspondence tracker (Cobius), monitor, reconcile and trend activity and develop both strategic and tactical. Update financials in Cobius. Provides ongoing communication and education in record compliance opportunities and performance improvement methodologies to staff, physicians and hospital employees. Serve as subject matter expert for Cobius software tracking database and liaison with vendor contact; train and monitor use. Collaborate with providers and clinician to complete patient Amendments.
