As a MEP Service Writer, you’ll be the go-to expert preparing estimates, building relationships, and helping customers find the best HVAC, electrical, and plumbing solutions. Requirements

  • 3–5+ years of experience in inside sales, service coordination, or estimating
  • Strong knowledge of HVAC, electrical, and/or plumbing service work
  • Experience managing work orders, proposals, and job costing
  • Excellent organizational and multitasking skills
  • Strong attention to detail and ability to manage multiple projects simultaneously
  • Effective communication and customer service skills
  • Proficiency with ERP/CRM systems (experience with Jonas preferred)

Responsibilities

  • Review service technician findings and prepare detailed quotes for repairs and replacements
  • Manage the full inside sales cycle, including quote follow-up, customer communication, and closing opportunities
  • Gather and compile complete turnover packages for approved work, including: Customer and billing information
  • Scope of work and proposals
  • Vendor quotes and parts ETA
  • Estimated labor hours and project totals
  • Permit requirements (including Parcel ID if applicable)
  • Coordinate with vendors to source materials, secure pricing, and track deliveries
  • Create and manage Work Orders, ensuring all job details are accurate and complete
  • Maintain and update Rev charts, including job status tracking (ordered, arrived, scheduled, ready to bill)
  • Partner with Customer Service to ensure proactive communication with customers regarding job status and timelines
  • Work closely with dispatch to schedule jobs once parts are received
  • Monitor job progress through completion and ensure proper billing status
  • Identify and resolve issues such as missing parts or scope changes by initiating requotes or reorders
  • Follow up on declined quotes to understand customer objections and improve win rates
