About The Position

Fisher Island Club is seeking a full-time Membership Assistant, a hospitality professional with experience in Membership and a passion for exceeding expectations in an upscale resort environment. Fisher Island Club Hotel & Resort is a private, membership-only club accessible by ferryboat or private yacht, featuring 15 historic and reimagined accommodations, the Vanderbilt Mansion, a secluded beach club, an award-winning championship golf course, 17 tennis courts, 4 pickleball courts, two deep-water marinas, various dining venues, a spa, salon, fitness center, Vanderbilt Theater, aviary, and observatory. The club prides itself on superior service and attention to detail provided by its staff. The Membership Assistant is a driven individual focused on building long-term member relationships to achieve acquisition and retention goals, creating and maintaining Membership information. The role involves assisting with administrative and sales support tasks related to Membership. In the absence of the Membership Director, the Assistant will meet with prospects, provide information, answer questions, and conduct club tours. This position is crucial for daily interaction and direction with Club members, vendors, and staff, aiming to achieve departmental and club operational objectives at the highest level while adhering to the vision of Fisher Island Club. The role provides administrative support to the Director of Membership, Member Relations Manager, and Board of Directors, maintaining efficient operations of the Club Membership office with strict confidentiality.

Requirements

  • Must be professional, have the ability to maintain confidential information.
  • Excellent communication skills, both oral and written.
  • Must be highly organized and detail oriented.
  • Proficient in Microsoft Word, Excel, Publisher, PowerPoint, Outlook with accurate typing abilities.
  • Effective use of time and efficient multi-tasker; flexible in work habits and work schedule.
  • Ability to operate all office equipment
  • Requires three years of previous related administrative experience.

Nice To Haves

  • Two years of college preferred.

Responsibilities

  • Answer telephones, return calls and reply to correspondences and faxes in a timely and professional manner.
  • Responds to inquiries via email, phone, or in person to support daily operations.
  • Assist with members’ inquiries and provides information and direction to appropriate departments.
  • Schedule appointments and take messages for follow through.
  • Connects with Member Relations Manager to maintain accurate records and files and orders office supplies as needed.
  • Manage paper and electronic office files and office supplies.
  • Creates, maintains, and updates the membership files
  • Adheres to strict confidentiality concerning all Club related matters
  • Communicates with co-workers, management, members, guests, and others in a courteous and professional manner.
  • Conforms with and abide by all regulations, policies, safety rules and guidelines, work procedures, and instructions.
