About The Position

The University of Texas at Austin Lady Bird Johnson Wildflower Center is committed to inspiring the conservation of native plants through its garden, education, research and outreach programs. Founded by Lady Bird Johnson and Helen Hayes in 1982, the Wildflower Center is the state botanic garden of Texas, a treasured Austin gem, and a national leader in the field of native plant education, sustainable landscapes, land restoration and research. It is home to the largest living collection of Texas native plants in the state, welcomes over 276,000 visitors annually, has over 17,000 members and reaches more than 2 million people per year through its website and plant database. The Center is focused on improving landscapes, promoting biodiversity, and connecting people with our environment. As a part of the Membership and Guest Services team, the Associate will support members and guests through data entry and database maintenance, gift processing, membership assistance, and all administrative tasks.

Requirements

  • High School Diploma or GED and at least 5 years of clerical experience
  • Outstanding time management and organizational skills
  • Strong data entry experience with focused attention to detail
  • Excellent written and verbal communication skills
  • Strong problem-solving skills
  • Ability to manage multiple internal and external relationships
  • High level of quality customer service
  • Ability to work and be flexible in a fast-paced, changing environment
  • Proficiency in Microsoft Office Suite
  • Relevant education and experience may be substituted as appropriate.

Nice To Haves

  • Bachelor’s degree and at least 1 year of clerical experience
  • Prior experience working in membership or development
  • Experience with Blackbaud - Altru and UT - VIP
  • Experience working with confidential and complex information
  • Experience in a public garden, museum, or non-profit

Responsibilities

  • Enter and process all membership gifts (and associated donations, if any) in Altru and UT VIP systems.
  • Download and verify website membership applications.
  • Maintain member/donor records in the computer system in a timely and accurate fashion.
  • Download daily lockbox deposit summaries and images.
  • Utilize digital membership card platform for all new and renewing members and/or print and mail physical membership cards.
  • Answer phone inquiries in a friendly and helpful manner.
  • Send and answer correspondence as it relates to Member & Guest Services.
  • Prepare, track and send silent auction requests.
  • Handle non-profit and corporate membership requests.
  • Maintain physical and electronic files for memberships and donations.
  • deceased notifications in database and other data clean-up tasks.
  • Other routine administrative tasks.
  • Facilitate group admission and private tour requests.
  • Create group reservations in Altru.
  • Coordinate with other teams to guide tours.
  • Continue all correspondence with group organizers post-request.
  • Run reports on revenues for group tours and visits.
  • Handle non-profit and corporate membership requests.
  • Lead back-office project assignments, organize proper documents and meetings, and correspond with other Wildflower Center teams as needed.
  • Other functions as assigned.
