About The Position

The Membership Events Manager is involved in all aspects of planning and execution of all Member social events at Fisher Island Club. This person should have proven event planning experience, experience working within a budget, and be knowledgeable about food and beverage, as well as catering. He/she is self-confident, creative, extremely organized, resourceful, energetic, detail-oriented, and able to multitask. Additionally, this individual must be a professional with impeccable integrity and unquestionable ethical and moral standards. He/she must also possess the ability to deal with highly demanding patrons with grace and charisma.

Requirements

  • Associate degree (AA) or equivalent from a two-year College or technical school; or two years related experience; or equivalent combination of education and experience
  • At least five years of large-scale, multi-tiered event experience essential
  • Ability to read, write, and speak English proficiently in order to perform the duties of the job

Nice To Haves

  • Knowledge of Microsoft Office applications (Word, Excel, Publisher, Outlook)
  • Familiarity with Adobe applications a plus (Photoshop, InDesign, Acrobat Professional)

Responsibilities

  • Lead the planning and execution of Membership social events and activities to ensure that the highest standards of service, quality, and cost goals are met.
  • Meets with Club Members to strategize member events and activities.
  • Collaborates with the Director of Membership, Activities Manager, Communications Manager, Culinary team, and Catering team on the creation of the Social Calendar.
  • Develops, coordinates and sources vendors for all Member social events from conception to execution.
  • Coordinates with the Director of Membership a yearly Special Events budget and negotiates with vendors and entertainers in order to stay within or under budget.
  • Develops alongside the Communications team the marketing and advertising to ensure the promotion of all internal Member activities and events.
  • Completes all administrative details associated with events including BEO, tracking costs, purchase requisitions, check requests, and proper follow-up of the completion of the assigned tasks.
  • Responsible to develop/oversee and administer all aspects of events including décor, booking entertainment, facilitating entertainment contracts and insurance, BEO, floor plans, seating, staffing, etc.
  • Oversees the Youth Activities Supervisor in the execution of Kids’ programs.
  • Collaborates with the Director of Communications or Communications Manager to conceptualize ideas for content with internal/external channels.
  • Monitors/tracks the success (performance) of all Membership activities and events and adjusts as needed for increased participation and satisfaction.
  • Organizes event reservations and keeps constant communication with the Membership Assistants to ensure they are updated on all pertinent information regarding the status of event details.
  • Performs duties of the Membership Assistants in order to support the front desk when needed to ensure member needs are met.
  • Exercise discretion and independent judgment in the completion of job duties related to matters of significance.
  • Communicates well with upper management, the F&B team, and other team members in general.
  • Must be an analytical thinker and problem solver, striving to always “think outside the box.”
  • Able to anticipate challenges and plan contingencies.
  • Possesses excellent time-management skills; must be able to prioritize, self-motivated.
  • Able to understand the complexity and dynamics of Club business.

  • Self-motivated, self-starter, able to share ideas, and implements plans without significant oversight after plans were discussed with the Director of Membership
  • Proficient level of computer knowledge with specific, basic knowledge of Microsoft Office/Adobe platforms.
  • Ability to work independently and to exercise initiative.
