About The Position

This position supports the work of the Y, a leading nonprofit committed to strengthening community through youth development, healthy living, and social responsibility. The Support Services Specialist supports Association operations by assisting with membership and program collections, registration system support, and administrative functions. This role works closely with the Finance team to ensure accurate processing, excellent service, and consistent operational support across all locations.

Requirements

  • High school diploma or equivalent required.
  • Adept computer skills with CRM experience.
  • Strong working knowledge of Microsoft Office Suite and ability to learn YMCA-specific systems.
  • Strong interpersonal, communication, problem-solving, and customer service skills.
  • Ability to exercise sound judgment and discretion when handling confidential information.
  • Ability to relate and communicate effectively with diverse groups of people from all social and economic segments of the community.
  • Ability to read, understand, and follow instructions, procedures, and policies.
  • Passion for delivering outstanding service and supporting a mission-driven organization.

Nice To Haves

  • Six months or more of related experience in customer service, administrative support, or financial processing preferred.

Responsibilities

  • Support Association operations by assisting with collections related activities that support Membership, Programs, and other operational areas.
  • Perform collections work related to credit card and electronic funds transfer (EFT) returns.
  • Review account activity to ensure appropriate processing of annual membership renewals and resolution or removal of balances when applicable.
  • Assist with return disputes, including credit card chargebacks, following established procedures and financial controls.
  • Process program registration changes, including waitlist maintenance and camp-related updates.
  • Maintain accurate data entry and system setup for program and membership registration cycles.
  • Support operations software administration by ensuring system data accuracy, reviewing updates, and generating reports as needed.
  • Model relationship-building behaviors in all interactions by practicing the YMCA’s Listen First approach.
  • Respond to internal and external inquiries in a timely, professional, and solutions-focused manner.
  • Follow all emergency procedures and safety precautions, including reporting accidents, incidents, and hazards.
  • Support YMCA fundraising initiatives and special events as assigned.
  • Complete all required compliance and professional development training annually or as assigned.
  • Perform other duties as assigned that are reasonably related to the scope of the position.
