About The Position

The Meeting Planner is responsible for the planning and coordination of 150–200 meetings annually across the United States and Canada. These include committee, council, and board meetings ranging in size from 10 to 150 attendees and may include in-person, virtual, and hybrid formats. This role supports the successful execution of meetings by managing logistics, coordinating with vendors, and working closely with internal stakeholders. The Meeting Planner ensures meetings are well-organized, align with organizational standards, and deliver a positive experience for attendees. The position requires strong attention to detail, organization, and working knowledge of Cvent to support registration, housing, and communications.

Requirements

  • Working knowledge of Cvent (registration, housing, and communications).
  • Strong organizational skills and attention to detail.
  • Clear and professional written and verbal communication skills.
  • Strong customer service and stakeholder support mindset.
  • Basic understanding of hotel operations, A/V, F&B, and meeting logistics.
  • Ability to prioritize tasks and adapt in a fast-paced environment.
  • Bachelor’s degree required; equivalent experience may be considered.
  • 2–4 years of meeting or event planning experience.
  • Experience supporting meeting logistics, including food & beverage, A/V, and housing.
  • Ability to manage multiple meetings and deadlines in a fast-paced environment.
  • Experience working with vendors and supporting budgets.

Nice To Haves

  • Experience with project management tools (e.g., Wrike or similar platforms) preferred.
  • Experience supporting committee or volunteer-led meetings preferred.
  • CMP or Cvent certification a plus, but not required.
