Job SummaryAs the Senior Meeting & Events Planning Manager, you are responsible for the Coordination and Execution of all Conference Service group related activities and will act as the primary liaison between the planning group and the staff of managed meeting space. You are the primary contact to schedule room reservations for any managed spaces within Capital One. You assist with booking, room configurations, any needed presentation supplies and AV needs. You are key to ensuring Conferences and Events go smoothly and seamlessly. You will serve as a Lead within the Planning team, providing support and reporting to the Assistant Director on high-level events and special projects. Requirements

  • Education and Experience: High school diploma or equivalent, bachelor’s degree preferred. Minimum of five years of experience in a conference center or corporate environment preferred. Excellent organizational and administrative skills, with the ability to prioritize tasks and juggle multiple tasks simultaneously.
  • Language Skills: Excellent oral and written communication skills. Ability to read and interpret documents such as safety rules, Standard Operating Procedures (SOPs), and employee handbooks. Ability to communicate through written and verbal communication, using a pleasant and professional manner with high-level clients, other service providers and support staff. Responsible for effectively meeting the changing demands of internal clients. A consistently professional approach, including a strong sense of self- respect and integrity, as well as respect for and interest in others.
  • Technology Skills: Strong computer skills and knowledge of office technology / equipment. Knowledge of Audio-visual equipment is a plus but not required. Proficient with conference room reservation/space management systems.
  • Reasoning Ability: Ability to carry out responsibilities with little supervision, as well as juggle many tasks simultaneously, while constantly interacting with visitors in a public environment. Self-confidence, willingness to learn, and feeling comfortable with change and coordinating change.
  • Physical Demands: Regularly stands and walks. Ability to move conference room tables, chairs and lift 50 pounds as needed.

Responsibilities

  • Serve as the main point of contact for assigned events and provide support to the planning team as needed.
  • Establish and maintain a positive professional relationship through effective and timely communication with the Capital One Associate and the staff of managed meeting space to distribute a group’s needs including daily reports, group messages, shared mailbox, Conference Review, written and verbal communication.
  • Support each group on the day of their event, checking in to ensure that group requirements are met before meeting kickoff and throughout the day. Follow up with the host post-event for feedback (what can be improved, what worked well, etc.)
  • Flexibility to work a varied schedule due to business levels and industry demand.
  • Host pre-con meetings and walk-throughs as required for events.
  • Ensure complete cancellation details into the reservation system, confirming any meeting cancellations to the client by email.
  • Work with the Client and the Catering team to plan standard and special food and beverage events, documenting such events within the reservation system.
  • Participate in daily and weekly Planning Meetings, reviewing the details of events which he or she has been working on, answering questions from staff members, and discussing relevant logistical matters.
  • Communicate effectively with Strategic Partners to ensure that meeting space standards are met and that contractual obligations (written and verbal) are fulfilled. Examples: janitorial, catering, facilities, guest services, etc. Utilize established procedures such as reports, meetings, text messages and other communication methods, event resumes, etc.
  • Ability to utilize multiple reservations systems in order to book reservations and distribute confirmations via Google Suite.
  • Track ongoing meeting requests and work proactively with key clients to maximize space utilizations rates, in partnership with the Space Utilization Manager when applicable.
  • Open communication with Guest Services team in regard to same and next day visitors as needed.
  • As scheduled, attends: BEO/Catering/Resume Review, Planners Meeting, Daily Stand-up/Pre-shift meeting (as applicable by site)
  • Engage with the Audio-Visual team when support is needed.
