This position independently manages the logistics planning and successful execution of in-person, hybrid and virtual insights and engagement and medical communication programs. Manages set-up and live production of high volume of virtual events.

Requirements

  • BS/BA required within a relevant field; CMP designation preferred.
  • Minimum of 5 years of experience in the meeting planning industry, including delivery of in-person, virtual, and hybrid meetings.
  • Experience in a management role in medical education events or pharmaceutical meetings preferred.
  • Experience creating and managing programs on virtual platforms. Zoom experience required.

Responsibilities

  • Attend internal meetings to discuss project status and work closely with client experience/project teams to execute weekly timeline tasks.
  • Manage venue sourcing and contracting, predominantly restaurants with private dining rooms. Negotiate the best rates and contract terms to ensure cost savings and risk management.
  • Manage food and beverage menu planning, communication with venues, and submit final guarantees.
  • Arrange faculty air travel, ground transportation and hotel accommodations. Work within the company's preferred travel platform to manage travel inquiries/approvals.
  • Maintain and update comprehensive, centrally located trackers for all programs.
  • Management of meeting expenses to align with overall budgetary needs. Review and reconcile final invoices and pass-through cost within mandated timelines.
  • Produce virtual events on Zoom platform: 1. Configure Zoom platform to include corporate branding, resource center, and polling questions. 2. Consolidate and collect virtual event content and assets. 3. Manage faculty calendar invitations, provide platform access links. 4. Welcome presenting faculty in the virtual green room, test their audio and video connections, ensure they are comfortable with the platform presenting features. 5. Manage presentation of content and poll launching. 6. Provide technical support and connectivity assistance. Rapidly troubleshoot any platform issues. 7. Track participant attendance during sessions to provide feedback to the internal team. 8. Coordinate assets and data for post event reporting.
