Hungry, Humble, Honest, with a Heart. The Opportunity This is a great opportunity to join our small but mighty Facilities team in Durham. We’re looking for a proactive, detail-oriented Meeting & Event Coordinator to plan and execute internal meetings, events, and programs from start to finish. This role partners closely with internal teams and vendors to deliver high-quality experiences that support business goals and enhance employee engagement. The ideal candidate thrives in a fast-paced, hands-on environment and brings a strong passion for creating engaging, well-executed experiences. This is an on-site role with direct involvement in event setup, execution, and follow-up.

Requirements

  • 2–4 years of experience in event coordination, hospitality, or similar role
  • Strong organizational, multitasking, and problem-solving skills
  • Excellent communication and stakeholder management abilities
  • Experience managing vendors, budgets, and multiple events simultaneously
  • Proficiency in Microsoft Office Suite
  • Strong attention to detail with an eye for quality, food, and aesthetics
  • Ability to work independently in a fast-paced environment
  • Comfortable being on-site, including standing, walking, and lifting up to 25 lbs

Responsibilities

  • Plan, coordinate, and execute meetings, events, and team activities
  • Partner with stakeholders to understand goals and recommend themes, catering, setup, and décor
  • Manage all event logistics including catering, AV, space setup, and coordination with IT/facilities
  • Directly responsible for event setup, teardown, and on-site execution
  • Manage vendor relationships, contracts, and performance
  • Track budgets, expenses, and identify cost-saving opportunities
  • Order and maintain food, snacks, and event supplies
  • Create event timelines, diagrams, and post-event follow-ups
  • Support employee engagement through seasonal events, pop-ups, and special programs
  • Plan and execute programs, events, and workplace initiatives that promote employee engagement, well-being, and a positive office culture
  • Provide general support to the events team and other administrative duties as needed
