About The Position

The Medication Aide/Nursing Office Coordinator supports resident care and unit operations by coordinating staffing schedules and nursing office functions while assisting with safe medication administration under the direction of licensed nursing staff. Working closely with nursing leadership and interdisciplinary team members, this role helps promote a collaborative, well-organized care environment focused on resident needs and daily operational efficiency. This position ensures appropriate staffing coverage, facilitates effective communication across departments, and maintains accurate scheduling and administrative records. In addition, the Medication Aide/Nursing Office is expected to function in the Medication Aides role on an as-needed basis during staffing shortages or urgent coverage situations, while maintaining primary responsibility for staffing coordination operations. The role contributes to efficient operations, regulatory compliance, and a safe, person-centered care environment while being part of a supportive team committed to quality care and strong coordination across the organization.

Requirements

  • Current North Dakota MedAide II or MedAide III certification
  • Current North Dakota CNA certification
  • None Educational Requirements
  • Must be organized
  • Good communication skills

Nice To Haves

  • 1 to 2 years of CNA experience preferred, but not required

Responsibilities

  • Coordinate and maintain staffing schedules to ensure adequate coverage based on resident needs, census, and regulatory requirements.
  • Communicate staffing updates, call-ins, and coverage needs with nursing leadership and team members to support continuity of care.
  • Administer prescribed medications in accordance with established protocols under the supervision of licensed nursing staff.
  • Prepare and maintain accurate medication and staffing documentation, ensuring compliance with organizational policies and regulatory standards.
  • Monitor residents for changes in condition or medication-related concerns and promptly report findings to the nurse in charge.
  • Maintain organized office systems, medication storage areas, and supplies to support efficient operations and a safe care environment.
  • Medication Aide duties are on an “as needed” basis during staffing shortages or urgent coverage situations, while maintaining primary responsibility for staffing coordination operations.
