About The Position

We are seeking a professional, detail-oriented individual to join our Patient Information Department. The Medical Support Assistant/Telephone Care facilitates patient accessibility to the provider and office as well as to ensure prompt, courteous and efficient service.  Responsibilities include, but are not limited to the following support items - manage the telephones, appointment scheduling, refill requests, coordinate patient tests, procedures, results and relay medical advice.

Requirements

  • Graduate of a medical-related training program (preferred) OR minimum high school diploma (or equivalent)
  • Proficiency in computer skills and familiarity with medical office operations required
  • Strong written and verbal communication skills with the ability to actively listen and collaborate effectively
  • Ability to work independently, multitask, and prioritize in a fast-paced environment
  • Strong attention to detail and organizational skills
  • Fine motor skills for operating phones, computers, and software systems
  • Ability to work under pressure and manage a high volume of patient interactions
  • Must be able to wear a headset for extended periods
  • Ability to sit, stand, and stretch frequently throughout the day, and to lift up to 10 pounds

Responsibilities

  • Demonstrate professionalism, maintain a positive attitude, and contribute as a team member in the Patient Information Department
  • Interact professionally with providers, managers, team members, and patients
  • Assist with various system baskets including Task Basket, Refills, FMH, Patient Chats, and others as assigned
  • Coordinate interpreter services when needed
  • Communicate regularly via phone, portal messaging, and text with patients and staff regarding results, medications, instructions, and care plans
  • Follow up on patient requests for medical advice, test results, and prescription refills in a timely manner
  • Order labs, procedures, and referrals per established guidelines and provider instructions
  • Accurately document all patient interactions in the medical record
  • Review appointment schedules for errors and implement necessary corrections
  • Support onboarding and training of new employees as requested
  • Cross-train on medical records and forms processing duties
  • Perform additional duties as needed to ensure efficient office operations and high-quality patient care
