About The Position

The Medical Support Assistant position at the Department of Veterans Affairs involves a variety of administrative and clerical duties to support the rehabilitation and extended care of patients. The role includes scheduling, canceling, and rescheduling appointments, verifying provider orders, and ensuring that encounter forms are completed for appropriate workload credit. The assistant will work directly with patients to provide instructions on test preparation and coordinate Telehealth appointments. Additionally, the position requires maintaining communication with professional staff and managing patient inquiries regarding treatment and transportation.

Requirements

  • U.S. Citizenship is required.
  • Six months of experience in clerical, office, customer service, or administrative work.
  • One year of education above high school or equivalent combination of experience and education.
  • Proficiency in written and spoken English.

Responsibilities

  • Schedules, cancels, and reschedules appointments and consults.
  • Enters no-show information and monitors the unable to schedule list.
  • Verifies and updates demographics and insurance information.
  • Processes emergency and non-emergency transfers to other VA facilities or private hospitals.
  • Provides patient instructions on test preparation, diets, and procedural requirements.
  • Coordinates Telehealth appointments with multiple staff members.
  • Generates notices to outpatients concerning failed and rescheduled appointments.
  • Utilizes AudioCare Reminder calls and produces daily schedules for professional staff.
  • Pre-registers and checks patients in for appointments.
  • Maintains daily contact with professional services personnel.
  • Accepts and responds to telephone calls from Veterans and relatives regarding treatment.
  • Reviews medical records to ensure requested appointments are made.
  • Utilizes Appointment Management Supervisor Menu for efficient scheduling.
  • Processes health care provider orders and initiates referrals, lab, and x-ray procedures.
  • Ensures escort services and transportation are arranged.
  • Performs clerical work to support patient care and maintains patient files.
  • Processes incoming and outgoing materials such as correspondence and reports.
