About The Position

The Medical Supply Specialist is responsible for ensuring that all medical, nursing, and resident‑care departments within the long‑term care facility have the equipment and supplies necessary to deliver safe, high‑quality care. This role oversees inventory management, ordering, distribution, equipment tracking, and regulatory compliance related to supplies and durable medical equipment (DME). The Medical Supply Specialist supports the clinical team by maintaining efficient supply systems and preventing shortages or interruptions in resident care.

Requirements

  • High school diploma or equivalent required; additional technical or healthcare training preferred.
  • Experience in long‑term care, healthcare supply chain, or central sterile/supply strongly preferred.
  • Knowledge of medical terminology, basic clinical equipment, and infection‑control principles.
  • Strong organizational skills and attention to detail.
  • Ability to lift and transport supplies and equipment as needed.
  • Proficiency with inventory software and basic computer applications.

  • Frequent walking, standing, bending, and lifting up to 40–50 lbs.

Responsibilities

  • Inventory Management
  • Monitor and maintain par levels for medical supplies, PPE, linens, wound‑care products, and routine clinical equipment.
  • Conduct weekly and monthly inventory counts; identify trends and usage patterns.
  • Rotate stock to ensure proper shelf life and reduce waste.
  • Track and document high‑cost or high‑use items.
  • Ordering & Procurement
  • Prepare and submit supply orders through approved vendors.
  • Work with central supply companies, pharmacies, DME providers, and purchasing departments to ensure timely delivery.
  • Evaluate new products with nursing leadership for quality, safety, and cost effectiveness.
  • Reconcile order confirmations, packing slips, and invoices.
  • Distribution & Stocking
  • Deliver supplies to nursing units, treatment rooms, resident rooms, and storage areas.
  • Maintain clean, organized, and labeled supply rooms.
  • Assemble supply kits (admission kits, wound‑care kits, isolation carts, etc.).
  • Ensure equipment and supplies are readily accessible during emergencies.
  • Equipment Management
  • Track location, condition, and usage of DME such as hoyer lifts, sit‑to‑stands, oxygen concentrators, wheelchairs, specialty mattresses, and suction or nebulizer devices.
  • Assist with scheduling repairs, replacements, or preventive maintenance.
  • Maintain logs for facility‑owned and rented equipment.
  • Communicate equipment shortages or safety concerns to nursing leadership.
  • Regulatory & Safety Compliance
  • Support compliance with state and federal long‑term care guidelines (CMS, OSHA, infection‑control standards).
  • Ensure expiration‑date checks, infection‑control storage requirements, and proper handling of sterile or single‑use items.
  • Participate in mock surveys, audits, and process‑improvement activities.
  • Collaboration & Customer Service
  • Work closely with nursing staff, environmental services, administration, and therapy departments.
  • Provide timely support for urgent supply needs.
  • Educate staff on proper supply usage, location, and conservation.
