Requirements

  • High school diploma or equivalent required; completion of a medical secretary or administrative assistant certificate program preferred.
  • Minimum of 2 years of experience in a medical office or healthcare administrative role.
  • Proficiency with electronic health record (EHR) systems and standard office software (e.g., Microsoft Office Suite).
  • Strong knowledge of medical terminology and healthcare administrative procedures.
  • Excellent communication skills, both verbal and written, with the ability to handle sensitive information confidentially.

Nice To Haves

  • Associate degree in health administration, medical office management, or related field.
  • Experience with specific EHR platforms such as Epic, Cerner, or Meditech.
  • Familiarity with medical billing and coding processes.
  • Bilingual abilities, particularly in Spanish or other commonly spoken languages in the United States.
  • Certification as a Certified Medical Administrative Assistant (CMAA) or equivalent.

Responsibilities

  • Manage complex scheduling for patient appointments, procedures, and follow-ups, coordinating with multiple healthcare providers and departments.
  • Maintain and update patient medical records and documentation in compliance with HIPAA and other regulatory standards.
  • Serve as the primary point of contact for patient inquiries, providing clear and compassionate communication regarding appointments, billing, and medical information.
  • Prepare and process insurance claims, authorizations, and referrals, working closely with insurance companies to resolve issues.
  • Support healthcare providers by transcribing medical reports, managing correspondence, and organizing clinical documentation.
