About The Position

This position will support the US Department of Veterans Affairs Critical Staffing Program. For Internal Use Only Serve as the inpatient Medical Records Technician (MRT) Team Lead (GS-9) for CTVHCS, coordinating workflow, guiding coders, and ensuring contract performance standards: process record coding within seven (7) calendar days and sustain ≥95% accuracy for Current Procedural Terminology (CPT®) / Healthcare Common Procedure Coding System (HCPCS), Evaluation and Management (E/M), and International Classification of Diseases, Tenth Revision (ICD-10-CM/PCS). Deliver required Quality Assurance (QA) reporting and support continuous improvement.

Requirements

  • American: (must possess at least one and maintain from the Health Information Management Association (AHIMA)
  • Registered Health Information Technician (RHIT)
  • Certified Coding Specialist (CCS) or Certified Coding Specialist–Physician-based (CCS-P)
  • Registered Health Information Administrator (RHIA)
  • American Academy of Professional Coders Certified Professional Coder (CPC)
  • Experience:
  • Minimum three (3) years of continuous coding experience in a facility with a patient population equal to or greater than the VA L4-TMS-H010.2-Job description Effective Date: 6/26/2024 Version 1.00 Currents versions are displayed on the Document Library on SharePoint.
  • Technical Proficiency
  • Proficiency with DRGs, ICD-10-CM, ICD-10-PCS, CPT®, and HCPCS
  • Ability to lead coders, assign/monitor work, train staff, conduct provider queries in VIRR, and prepare QA materials
  • Education Required:
  • High school diploma or equivalent
  • Physical Requirements:
  • Work is normally performed in a typical interior/office work environment
  • Work involves sitting and standing for prolonged periods of time
  • May require bending, stooping and lifting up to 15 lbs
  • Other Special Qualifications:
  • Must be able to read, write, and speak English to effectively communicate
  • US Citizen or Permanent Resident Card is required
  • Pass/possess VA Public Trust Clearance

Responsibilities

  • Lead daily inpatient coding operations; coordinate, assign, and monitor workflow; provide real-time coding guidance to staff to promote consistency and compliance.
  • Review coded data for completeness and accuracy; maintain ≥95% accuracy across CPT®/HCPCS, E/M, and ICD-10-CM/PCS.
  • Query clinicians via VistA Integration Revenue and Reporting (VIRR) to resolve ambiguous or conflicting documentation; close queries within 30 days after discharge or service and document final impact.
  • Abstract complete record content (medical, surgical, ancillary, demographic, social, administrative) to support correct Diagnosis-Related Group (DRG) assignment and complete data capture.
  • Develop and deliver training; orient and instruct new personnel and students; create curricula for ongoing coder development.
  • Prepare required QA/Improvement reports and participate in performance monitoring with Department of Veterans Affairs (VA) stakeholders as specified in the Performance Work Statement (PWS).
  • Monitor regulatory and policy changes (Centers for Medicare & Medicaid Services [CMS], Veterans Health Administration [VHA]/VA directives, Health Insurance Portability and Accountability Act [HIPAA]) and incorporate updates into coding practice.
  • Resolve audit findings and claim denials related to coding; correct daily coding rejections to support accurate billing and data integrity.
  • Participate in audits and performance reviews; sustain ≥95% coding accuracy; cooperate with Coding Auditor sampling requirements.
  • Maintain proficiency in VA systems and references: Veterans Health Information Systems and Technology Architecture (VistA), Computerized Patient Record System (CPRS), VIRR; apply ICD-10 Official Guidelines, American Medical Association (AMA) CPT® Assistant, American Hospital Association (AHA) Coding Clinic, National Correct Coding Initiative (NCCI), and CMS guidance.
  • Provide input to performance evaluations and hiring decisions for MRT coders; support the Inpatient Coding Supervisor.
  • Protect Protected Health Information (PHI) and complete mandatory annual VA privacy and information security training.
  • Meet the seven (7)-day coding timeliness and ≥95% accuracy thresholds and deliver required QA reports per the PWS.
  • Complete required organizational compliance education, including assigned requirements that are client-specified, for Joint Commission Healthcare Staffing Services certification or other regulatory bodies.
