As a Medical Records Technician, you’ll play a critical role in supporting daily office operations, maintaining patient records, and ensuring compliance with HIPAA and legal standards.

Requirements

  • Minimum one (1) year of work experience in an administrative office OR minimum one (1) year of work experience in a healthcare setting OR post-high school or vocational training.
  • Strong customer service skills with professional phone etiquette.
  • Ability to multi-task in a fast-paced environment.
  • Proficiency in Microsoft Office Suite and ability to learn new software.
  • Excellent organizational skills, detail-oriented, and a self-starter.
  • Possess critical thinking skills and ability to set priorities.
  • Ability to function as part of a team as well as independently.
  • Commitment to working in a team environment and maintaining confidentiality.
  • Excellent verbal and written communication skills, including effective communication with various audiences.
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
  • For Logan Health Whitefish (LHW) assignment: Current Montana Notary must be successfully obtained within six (6) months of hire.

Responsibilities

  • Support daily office operations and provide backup as needed.
  • Prepare, scan, organize, and manage patient charts and records per department procedures.
  • Process medical record requests in compliance with HIPAA and legal requirements.
  • Scan documents to database, index, categorize, and organize them according to department protocol.
  • Conduct quality audits on scanned records and resolve discrepancies in patient records.
  • Assist with data management, reporting, running reports, merging accounts, and correcting information in the electronic medical record.
  • Analyze patient type records for deficiencies in accordance with Federal and State laws and Medical Staff By-laws.
  • Respond professionally and promptly to requests and collaborate with team members to meet departmental needs.
  • Maintain supplies and equipment, coordinating repairs and service as necessary.
  • Promote positive customer relations through prompt and courteous service.
  • Assist with copying, scanning, and retrieval of information.
  • Assist with miscellaneous data research requests.
  • Ensure dictations and/or reports are accounted for and assist with efficient delivery and distribution of reports (if applicable to Transcription duties).
  • Assist in gathering preoperative history and physicals for surgery (if applicable to Transcription duties).
  • Maintain regular and consistent attendance as scheduled by department leadership.
