About The Position

Community Mental Health Affiliates, Inc. (CMHA) is a private non-profit treatment provider headquartered in New Britain, with seven locations throughout the city and in Waterbury. We partner with clients and the community to promote recovery from mental illness and substance use, treating more than 7,500 adults and children each year. This position will be located at 233 Main st. New Britain, CT 06051. Monday-Friday, 8:30am-4:30pm. Position Summary: Responsible for various medical records tasks including record organization, record accuracy/completeness, scanning, uploading, training and record auditing. Collaborates with staff, insurance companies, attorneys and other individuals regarding records issues.

Requirements

  • High School Diploma or GED.
  • Valid DMV License.
  • Successful experience in record management/filing or equivalent experience in a medical office with records responsibilities, preferably a minimum of one year.
  • Experience and/or training with agency accreditation and HIPAA required
  • Intermediate experience with Microsoft Office products including Word, Outlook and Excel.
  • Intermediate Experience with Adobe
  • Experience utilizing client data bases and linked clinical business applications, including Electronic Medical Record (EMR) systems. Experience with EPIC EMR preferred.

Responsibilities

  • Monitors and manages multiple sources for requests for information such as patient portal, In-Basket, email, RightFax, mail and in-person.
  • Accurately and promptly scans relevant clinical forms and correspondence into the EMR, using Solarity to streamline and expedite document uploading.
  • Safeguards the confidentiality and security of medical records by adhering to established procedures and restricting access to authorized individuals.
  • Efficiently process requests for health information by ensuring authorizations are obtained, and compliant while maintaining the integrity and security of sensitive information throughout the process.
  • Conduct record audit tasks, thoroughly reviewing records to ensure accuracy for documentation and reporting.
  • Trains staff in medical records and acts as an expert on privacy and disclosure issues.
  • Acts as a health information representative and patient liaison by ensuring timely and efficient access the health information, upholding privacy rights and the right of access.
  • Deliver expert customer services using relevant tools and information systems.
  • Files appropriate clinical forms and correspondence in medical records in an accurate and timely manner.
  • Prepares records for release by obtaining releases and copying parts or all of the record material.
  • Performs record audit related tasks as required by licensing bodies, payers and accreditation organizations by reviewing for accuracy and timeliness.
  • Provides medical records training to clerical support staff who are responsible for maintaining medical records.
  • Performs other related duties as assigned.
