This is not a typical receptionist role. You will be the hub of patient access, communication, and coordination, supporting providers, nurses, and patients across the full continuum of care. Requirements

  • High school diploma (some college preferred)
  • 2+ years of experience in a medical office or similar setting
  • Strong computer and data entry skills
  • Ability to manage multiple tasks with frequent interruptions
  • Strong attention to detail and organizational skills
  • Excellent customer service and communication skills
  • Comfort working in a fast-paced, team-based environment

Responsibilities

  • Manage high-volume, multi-line phone systems professionally and efficiently
  • Schedule appointments based on clinical needs and provider availability
  • Screen and triage calls appropriately, including urgent situations
  • Communicate clearly with patients, providers, and external partners
  • Coordinate appointments across providers and services
  • Arrange referrals, procedures, and follow-up care
  • Track orders and ensure completion of referrals and testing
  • Support care coordination with specialists and community resources
  • Verify and update demographic and insurance information
  • Ensure required consents and documentation are complete
  • Provide a welcoming, professional first impression for every patient
  • Collect co-pays and process payments accurately
  • Schedule follow-up care based on provider plans
  • Provide patients with visit summaries and next steps
  • Manage patient messaging and ensure timely responses
  • Process incoming records and route appropriately
  • Perform pre-visit planning and insurance verification
  • Maintain accurate, complete documentation in the EHR
