The receptionist is responsible for maintaining accurate records, handling sensitive patient data with confidentiality, and facilitating smooth administrative operations. By managing phone calls, greeting patients, and assisting with billing inquiries, the receptionist supports both clinical and administrative teams to enhance overall patient experience. Ultimately, this position contributes significantly to the effective functioning of the medical office, promoting patient satisfaction and operational efficiency.

Requirements

  • High school diploma or equivalent.
  • Proven experience in a receptionist or administrative role, preferably in a medical or healthcare environment.
  • Basic knowledge of medical terminology and healthcare office procedures.
  • Familiarity with electronic health record (EHR) systems and standard office software (e.g., Microsoft Office).
  • Strong communication and interpersonal skills with the ability to handle sensitive information confidentially.

Nice To Haves

  • Certification as a Medical Administrative Assistant (CMAA) or equivalent.
  • Experience with medical billing and insurance claim processing.
  • Bilingual abilities, particularly in Spanish or other commonly spoken languages in the United States.
  • Advanced proficiency with EHR software such as Epic, Cerner, or Meditech.
  • Training in customer service or patient relations within a healthcare context.

Responsibilities

  • Greet and check in patients promptly and courteously upon arrival.
  • Schedule, reschedule, and confirm patient appointments using electronic health record (EHR) systems.
  • Answer multi-line phone systems to address patient inquiries, direct calls, and provide information as needed.
  • Verify patient insurance information and assist with the collection of co-pays or outstanding balances.
  • Maintain accurate and up-to-date patient records, ensuring compliance with HIPAA and other privacy regulations.
  • Coordinate communication between patients, healthcare providers, and administrative staff to facilitate smooth office operations.
  • Manage incoming and outgoing correspondence, including emails, faxes, and mail related to patient care and office administration.
  • Assist with billing processes by preparing and submitting insurance claims and following up on unpaid accounts.
  • Ensure the reception area is organized, clean, and stocked with necessary forms and informational materials.
