The Front Office Receptionist plays a key role in creating a positive first impression for patients by greeting visitors, checking patients in and out, answering phones, scheduling appointments, collecting payments, and ensuring the smooth flow of daily operations. Requirements

  • High school diploma or equivalent required
  • Minimum of 1 year of experience in a front desk role within a medical or doctor’s office setting
  • Familiarity with insurance coverages, including co-pays, deductibles, and co-insurance
  • Proficiency in Microsoft Office applications
  • Experience with Electronic Medical Records (EMR) systems required; E-Clinical Works preferred
  • Knowledge of medical office management systems and administrative procedures
  • Strong time management skills with the ability to multitask and prioritize effectively
  • Service-oriented with excellent social perceptiveness
  • Excellent written and verbal communication skills
  • Strong organizational and planning abilities

Responsibilities

  • Greet patients and visitors, providing a professional and welcoming first impression
  • Check patients in and out, ensuring accurate collection of demographic, billing, and insurance information
  • Verify insurance eligibility, process referrals, and obtain prior authorizations as required
  • Schedule, reschedule, and confirm patient appointments in coordination with providers
  • Notify medical staff of patient arrivals and prepare charts/EMR records for visits
  • Collect co-pays, deductibles, and outstanding balances; explain payment policies as needed
  • Answer, screen, and direct phone calls; respond to patient inquiries or route to the appropriate staff member
  • Maintain accurate patient records in the EMR system
  • Assist in maintaining front office supplies and equipment
  • Support quality improvement and process enhancement efforts
  • Establish and maintain positive relationships with patients, providers, and staff
  • Protect patient privacy and maintain HIPAA compliance
  • Perform other administrative duties as assigned to ensure smooth daily operations
