About The Position

This position can be either on-site in Jamestown, NY or hybrid remote. To be eligible for hybrid remote work, you must: - Live in New York or Pennsylvania - Be within commuting distance of Jamestown, NY - Be able to train on-site in Jamestown, NY for up to 90 days After completing the on-site training period, you may transition to mostly remote work while continuing to reside in NY or PA. We are currently seeking a Medical Assistant – Phones to join our team as a dedicated, high-volume call support specialist. This role is best suited for individuals who are comfortable spending the majority of their workday on the phone, managing a steady flow of incoming patient calls. As the primary communication hub between patients and healthcare providers, you will be responsible for answering calls continuously throughout your shift, coordinating patient needs, and ensuring timely, accurate message handling. Success in this position requires strong multitasking skills, clear and professional communication, and the ability to remain focused and efficient while handling back-to-back calls.

Requirements

  • At least six months of experience in a related role preferred
  • High School Diploma or GED required
  • Excellent verbal and written communication skills
  • Excellent customer service skills required
  • Strong attention to detail, organizational skills, and ability to prioritize and meet deadlines
  • Prolonged periods of sitting and working at a computer
  • Frequent use of a telephone headset and/or handset, with the majority of the workday spent handling incoming calls
  • Frequent speaking and active listening required
  • Regular use of computers, electronic medical record systems, and standard office equipment
  • Repetitive hand and wrist movements (e.g., typing, data entry)
  • Ability to manage multiple tasks and navigate various software systems simultaneously in a fast-paced environment
  • Work may be performed in an office setting or a remote/home environment with appropriate workspace setup
  • Must be able to maintain professionalism when interacting with patients, including in high-volume or occasionally stressful situations
  • The employee must be able to perform the essential functions of this position with or without reasonable accommodation.

Responsibilities

  • Answer incoming calls and assist patient with their needs
  • Respond to patient messaging in a timely and professional manner with responses from provider
  • Work on medication prior authorizations
  • Que medications to providers based on Medication Refill Policy
  • Contact nursing or providers by phone or patient's chart with patient complaints to determine course of action
  • Obtain lab and x-ray reports, hospital notes, and referral information
  • Use Disease Management and Health Maintenance to coordinate care for individual patients
  • Update patient demographics including insurance, address, and phone number
  • Communicate via messaging patient health complaints and/or concerns
  • Maintain strict HIPAA standards related to patient information
  • Participate and communicate in team meetings to identify and problem solve processes
  • Communicate with nursing and provider staff through a team approach to plan of care that is patient specific
  • May assist in other departments as needed
  • Any additional duties as assigned by management
