About The Position

The Manager of Medical Assistants is responsible for overseeing the daily operations of the medical assistant team within our health center. This role includes managing staff, ensuring high-quality patient care, coordinating training programs, and maintaining compliance with regulatory standards. The ideal candidate will demonstrate strong leadership skills, a commitment to patient-centered care, and the ability to foster a collaborative team environment

Requirements

  • High School Diploma or GED and graduation from an accredited school of medical assisting
  • CPR certification and American Association of Medical Assistants (AAMA) CMA Certification -or-American Medical Technologists (AMT) RMA certification.
  • Candidates must take a pass the certification exams during their probationary period.
  • Ability to read and interpret documents such operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before groups of customers or employees of organization.
  • Access to regular, dependable and timely transportation
  • Ability and comfortability working with people of varying socioeconomic backgrounds.
  • Excellent communication skills. Strong networker, convener, relationship builder and communicator with experience collaborating with diverse work teams and stakeholders.
  • Demonstrated ability to handle confidential and sensitive information possessing skills to handle situations in a professional and diplomatic manner.
  • A high degree of collaboration and emotional intelligence, self-motivation, and analytical ability.
  • Proficiency in Microsoft Office, Internet Explorer, Outlook/Exchange; Windows operating systems; and other software routinely used by Heartland Alliance.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Ability to work independently and remain self-motivated with minimal direct supervision.

  • Ability to speak and fluency in a second language including but not limited to the following multi-language abilities:

Nice To Haves

  • Bi-lingual in English and Spanish may be required.
  • Consideration will be given to candidates who have registered to take the AAMA or AMT Cortication exams. Probationary periods may be extended while awaiting the results of such exams.

Responsibilities

  • Recruit, hire, train, and supervise medical assistants.
  • Conduct performance evaluations and provide ongoing feedback and coaching.
  • Schedule and manage staffing levels to ensure adequate coverage.
  • Work closely with the clinical team, and health centers managers.
  • Accountability for training programs for medical assistants.
  • Promote professional development and continuous education opportunities.
  • Accountability for certification renewals in a timely manner.
  • Ensure staff are knowledgeable about current practices and protocols.
  • Monitor and evaluate the performance of medical assistants in patient care activities.
  • Ensure compliance with health center policies, procedures, and regulatory standards.
  • Implement quality improvement initiatives to enhance patient care and operational efficiency.
  • Collaborate with clinical staff to ensure seamless patient care and service delivery.
  • Address patient concerns and feedback related to medical assistant services.
  • Facilitate effective communication between medical assistants and other healthcare providers.
  • Administers medications and vaccinations as ordered by the prescribing provider
  • Maintain accurate records of staff performance and patient care activities.
  • Create MA schedules for all sites.
  • Submit supply orders and follows inventory procedures.
  • Assist in budgeting and resource allocation for the medical assistant team.
  • Prepare reports and presentations for management regarding team performance and outcomes.
  • Adheres to professional standards as outlined by governmental bodies, appropriate professional associations, private funding sources, agency plans, policies and unit guidelines.
  • Participates in periodic evaluation reviews and/or in house and external staff training to ensure adherence to standards. Initiates requests for assistance or guidance from supervisor to address new issues or complex concepts affecting adherence to professional standards.
