Requirements

  • Certified Medical Assistant with active state certification.
  • Minimum of 2–3 years of experience coordinating healthcare education, apprenticeship, or workforce training programs preferred.
  • Experience with Washington State Apprenticeship and Training Council (WSATC) or Department of Labor registered programs strongly preferred.
  • Prior experience in a clinical or healthcare environment highly desirable.
  • Understanding of clinical workflow and Medical Assistant scope of practice in Washington State.
  • Strong organizational, communication, and interpersonal skills with the ability to build rapport with diverse stakeholders.
  • Knowledge of healthcare compliance, confidentiality standards, and documentation procedures.
  • Ability to work independently while maintaining collaboration with multiple departments and external partners.
  • Proficiency in Microsoft Office Suite; experience with HRIS, LMS, or apprenticeship tracking software preferred.

Responsibilities

  • Serve as the primary point of contact for Medical Assistant apprentices, preceptors, and department leaders regarding program expectations, schedules, and progress.
  • Monitor apprentice attendance, on-the-job training (OJT) hours, and related technical instruction (RTI) through the approved apprenticeship tracking system.
  • Communicate regularly with partnering schools and instructors to verify coursework completion, attendance, and academic progress.
  • Maintain accurate documentation of apprentice records, training plans, evaluations, and compliance forms in accordance with WSATC and Samaritan Healthcare standards.
  • Provide day-to-day guidance and support to apprentices regarding program requirements, professional conduct, and performance expectations.
  • Coordinate apprentice job rotations across clinics and departments to ensure well-rounded training and exposure to multiple patient care settings.
  • Respond to inquiries from apprentices, managers, and HR regarding schedules, policies, or program logistics.
  • Review weekly progress reports and communicate apprentice status updates to department leadership and HR management.
  • Meet with preceptors, clinical leads, and educators to discuss apprentice progress, performance, and development needs.
  • Prepare and submit weekly or biweekly documentation to the training provider and Washington State Apprenticeship and Training Council as required.
  • Conduct regular apprentice check-ins to support engagement, address concerns, and promote retention.
  • Assist HR and clinic management with the recruitment and selection process for new apprentice cohorts, including screening, interviewing, and onboarding coordination.
  • Coordinate orientation and required compliance training for new apprentices, ensuring completion of all documentation and credentialing requirements.
  • Support planning and facilitation of apprentice evaluations and competency assessments in collaboration with clinical educators.
  • Evaluate the effectiveness of the Medical Assistant Apprenticeship Program through metrics such as retention, completion, and post-completion employment outcomes.
  • Recommend program enhancements based on feedback from apprentices, mentors, and clinic management.
  • Maintain up-to-date knowledge of Washington State Apprenticeship and Training Council (WSATC) and Department of Labor standards.
  • Collaborate with HR, Clinical Education, and Department Management to ensure curriculum alignment with Samaritan Healthcare’s clinical standards and patient care protocols.
  • Coordinate mentor/preceptor training and support to ensure consistent evaluation and supervision practices.
  • Partner with community colleges, workforce development councils, and regional apprenticeship sponsors to strengthen pipeline opportunities.
  • Promote the apprenticeship program internally and externally through job fairs, community events, and outreach activities.
