About The Position

Medical Appointment Clerk Location: Mike O’Callahan Military Medical Center (MOMMC), Nellis AFB – Las Vegas, NVSchedule: Monday–Friday | 8‑hour shifts between 0700–1900 Spectrum Healthcare has a POTENTIAL OPPORTUNITY for a Medical Appointment Clerk. Position Summary The Medical Appointment Clerk provides administrative support to medical and dental clinics by coordinating appointments, updating patient information, and ensuring timely patient access to care. This position plays a key role in supporting healthcare providers, beneficiaries, and overall clinic operations.

Requirements

High School Diploma (per Exhibit 5)
No equivalency substitutions permitted
Proficiency with Microsoft Word and Excel
Ability to read, write, speak, and understand English fluently
Strong communication and customer service skills
Ability to sit, stand, and walk for extended periods
None required beyond Basic Life Support if applicable
Must be a U.S. Citizen

Responsibilities

Schedule medical and dental appointments via phone, secure messaging, or other approved request methods in accordance with local guidelines.
Support Primary Care Manager (PCM) by‑name assignments and meet required access‑to‑care standards.
Maintain and update appointment schedules using government systems such as: CHCS (Composite Health Care System), AHLTA, DENTRIX, MHS GENESIS
Validate patient eligibility through the Defense Eligibility Enrollment Reporting System (DEERS).
Update and verify patient demographic information.
Register new patients (e.g., newborns) into the system when needed.
Keep accurate appointment logs and up‑to‑date schedules.
Use system tools—including detail codes, appointment slot freezing, and TRICARE Online—to manage cancellations, rescheduling, and appointment availability.
Contact patients or respond to secure messages to schedule, reschedule, or cancel appointments.
Assist with reminders, no‑show notices, and cancellation/reschedule notifications (phone or written forms).
Create and deliver telephone consults (T-cons) to PCMs and nursing staff following established protocols.
