Requirements

  • High school diploma or equivalent; additional administrative or healthcare-related certifications are a plus
  • Proven experience in administrative support, preferably within a healthcare or mental health setting
  • Familiarity with Electronic Health Records (EHR) software preferred
  • Strong organizational skills with keen attention to detail
  • Excellent communication skills, both written and verbal
  • Ability to handle sensitive information with confidentiality and professionalism
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and electronic health record systems
  • Ability to multitask and prioritize tasks effectively in a fast-paced environment
  • Customer service: 2 years (Required)
  • Medical terminology: 2 years (Required)
  • Medical records: 2 years (Required)

Responsibilities

  • Assist with the compilation, organization, and maintenance of medical files and records
  • Ensure all patient documentation complies with confidentiality and privacy regulations
  • Support administrative tasks such as scheduling appointments, managing correspondence, and data entry
  • Coordinate with clinical staff to facilitate smooth information flow and record keeping
  • Maintain accurate and up-to-date filing systems, both electronic and paper-based
  • Respond to internal and external inquiries related to medical records as needed
  • Support other administrative duties to ensure efficient office operations
  • Greet and support clients and visitors in a welcoming and respectful manner
  • Use Electronic Health Record (EHR) systems to update and maintain patient health information
  • Address client inquiries and support a positive client experience
  • Collaborate with clinical and administrative staff to support agency operations
  • Prepare and distribute emails, internal memos, letters, and faxes
