About The Position

The Woodbury, Long Island office of Kaufman Dolowich LLP an AV-rated® national law firm recognized among U.S. News Best Companies to Work For – Law Firms, is seeking a Matter Intake Coordinator to join our expanding team. This role is ideal for a detail-oriented professional who enjoys working with data, supporting attorneys and business professionals, and ensuring the accuracy and integrity of critical client and matter information across firm systems.

Requirements

  • Strong written and verbal communication skills
  • Ability to interact professionally with attorneys, business professionals, and firm leadership
  • Exceptional attention to detail and strong data entry accuracy
  • Excellent organizational and multitasking abilities in a fast-paced environment
  • Ability to manage confidential and sensitive information with discretion
  • Proficiency with Microsoft Office and comfort working within multiple software systems

Nice To Haves

  • Prior law firm experience preferred; experience at a defense firm is a plus

Responsibilities

  • Perform quality control and create new client and matter records within the firm’s financial and document management systems
  • Process matter updates, including contact changes, matter names, billing rates, deductibles, claim information, and other case details
  • Reconcile newly created matters within e-billing platforms on a regular basis
  • Upload and maintain carrier billing guidelines within the firm’s internal intranet
  • Generate ad-hoc reports and assist with data requests as needed
  • Support special projects and departmental and firmwide initiatives
  • Provide administrative and operational support to the intake team
