General Description: The Supervisor, Materials is based in the local entity this position supports and reports directly to the Manager, Materials. This position is accountable for the collaborative integration, implementation, and optimization of the OU Health Operations strategy at the entity level in close coordination with the Manager, Materials. This position is responsible for daily supervision of all supply chain operations functions to include distribution, picking, put-away, par management, and point of use technology. The Supervisor, Materials, develops and conducts employee annual performance review and participates in budget development under the direction of the Manager, Materials. Position Dimensions and Impact on OU Health Under the guidance of the Manager, Materials assist in the leading of entity level Supply Chain operations structure that is consistent and in alignment with the OU Health Supply Chain Operations vision and overall strategy which includes standardized facility-based receiving, storage, inventory management/control, point of use/low unit of measure, and distribution operations in all entities. Provides day-to-day supervision of department staff which includes scheduling work, monitoring performance to ensure compliance with guidelines, policies, and procedures, providing feedback on performance, and writing and conducting performance reviews. Acts of behalf of Manager in their absence as directed. Develops distribution procedures, job standards, and evaluation criteria in coordination with the Manager. Monitors and maintains the department budget. Assists as necessary with product recalls and/or returns. Develops, maintains and monitors distribution systems in coordination with the specific departments involved. Maintains and monitors departments KPIs/metrics. Takes action/or makes recommendations based upon analysis of information. Monitor labor hours reporting and make adjustments to staffing as appropriate. Conducts orientation and in-services education programs for staff. Coordinates all computer and procedure based training for Supply Chain Operations employees. Develops and expands training documentation for the Materials Management Information System. Optimize use of Materials Management Information System and other Supply Chain automation tools that works to eliminate unnecessary work, simplify necessary work, centralize simplified work, and automate centralized work. Monitors the supply areas for neatness and cleanliness to ensure they meet the Joint Commission and OSHA standards and takes action as appropriate to ensure compliance. Works with departments to ensure inventory needs are consistently met, utilizing dashboards and other analytic tools and reports. Participates in project teams and committees as necessary. Participates in professional activities to keep abreast of changes and developments in the Supply Chain profession. Conducts periodic rounding of all customer units, auditing employee performance, and reviewing units’ inventory needs. Under the direction of the Manager and other Supply Chain leadership, works with OU Health system staff to implement system wide inventory strategy and improve supply chain performance through a reduction in obsolete inventory, improvements in inventory turns and improvement in inventory replenishment processes. Apply and enforce procurement separation of function practices in accordance with the Uniform Commercial Code (UCC) and accounting practices for establishing appropriate inventory management controls, utilizing Generally Accepted Accounting Principles (GAAP). Serve as a customer service advocate and ensures staff responds to all customer requests and requirements in a highly responsive and professional manner. Recruit, hire, and set performance expectations of direct reports. Perform evaluations, counseling, corrective action and trains staff according to system wide policies and procedures. Identify, coach and/or mentor top talent for leadership opportunities and succession management. Create a foundation that supports and develops team members allowing for growth and success.
