About The Position

At Klickitat Valley Health, effective materials management is essential to delivering safe, high-quality patient care. We are seeking an experienced Materials Management Supervisor to lead purchasing, inventory control, and distribution operations across the District while supporting cost-effective, compliant supply chain practices. The Materials Management Supervisor oversees the procurement of medical and non-medical supplies, manages warehouse and supply inventories, and ensures timely receiving and distribution throughout the organization. This role builds and maintains strong vendor relationships, obtains and evaluates quotes to ensure best value, and collaborates closely with department leaders to meet operational needs. The Supervisor supports capital purchasing by developing quotes, ensuring compliance with purchasing policies and procedures, managing group purchasing agreements, reviewing contracts, and providing direct supervision and leadership to Materials Management staff. Klickitat Valley Health is a rural, critical-access hospital located in scenic Goldendale, Washington, only two hours from Portland along the breathtaking Columbia River Gorge. KVH offers emergency and acute inpatient care and a full scope of ancillary services, including General Surgery, Diagnostic Imaging, Laboratory, Respiratory Therapy, PT / OT, Behavioral Health, Dental, Pain Management, Optometry, and Hospice. The hospital also owns a busy, well-established primary clinic on the hospital campus. Inpatient care is managed by 24/7 Hospitalist staff. KVH employs over 300 staff. Nice To Haves

  • Associate’s Degree preferred
  • Materials Management Certification, such as CMRP (Certified Materials & Resource Professional through AHRMM or CSCP (Certified Supply Chain Professional) through ASCM Preferred
  • Two years of experience in supply chain, warehouse, inventory control, or related environment preferred
  • Healthcare materials management experience strongly preferred.
  • Supervisory experience preferred

  • Participates with the Controller in the recruitment, interviewing, and selection process of MM staffing.
  • Establishes and maintains work schedules to ensure proper staffing.
  • Responsible for the performance improvement plan and reporting for the department
  • Receives and proofs purchase requisitions, checking for correct order quantities and descriptions, department numbers, general ledger numbers, and vendor numbers.
  • Prepares detailed purchase orders and ensures appropriate approval is obtained before ordering.
  • Researches and locates cost-effective alternatives and gains approval from the ordering department
  • Processes orders efficiently via online accounts, email, or over the phone.
  • Ensures order confirmations, ETA’s, sub-item information, price or quantity changes are acquired and processed per PO.
  • Receives incoming freight for all departments and employees, inspects shipments for damage before accepting merchandise; verifies that the correct items have been sent by comparing incoming supplies and packing slips to purchase orders as applicable; resolves shipment errors or damage issues with the vendor in a timely manner.
  • Pulls all packing slips for orders processed through Materials Management and files for further processing.
  • Delivers all received items to the ordering department or to the person named on the box in a timely manner.
  • Manages stock by rotating and labeling inventory, monitoring use trends, making adjustments that minimize waste, and reconciling department charges to ensure all inventory is accounted for and billed correctly.
  • Matches packing slips with all POs, ensuring packing slips are dated as received; notes backorders, missed shipments, etc.
  • Receives and processes all PO’s associated with freight received into the Main Supply Storage Room into the materials management program on a weekly basis, ensures inventory counts and costs are as accurate as possible, and PO’s are closed out in order for accounts payable (AP) to access and pay expenses in a timely manner.
  • Reviews, corrects, and inputs all generated department requests for supplies removed from the Supply Storage Room by the end of each month.
  • Ensures all departments are charged correctly for supplies stocked in their respective storage areas during the month.
  • Performs an annual inventory of all stock in the Supply Store Room under the inventory general ledger number.
  • Ensures supply costs, item numbers, descriptions, and counts are accurate before inputting final data and running final reports.
  • Keeps information and records accessible for review by correctly sorting and filing documents, and maintains records for at least three (3) years.
  • Assists, trains, and mentors managers, supervisors, and employees on protocols and processes for submitting requests, hard-copy POs, requests for quotes, and general item information, as needed.
  • Stocks clinical areas throughout the District with supplies; monitors trends by item to ensure proper quantities are on hand as needed by the department with minimal waste.
  • Monitors outdated items, ensuring that items are pulled from stock before their expiration date.
  • Responsible for maintaining purchasing contracts and working with the group purchasing group.
  • In the event that the Emergency Operations Plan and Hospital Incident Command (HICs) is activated at KVH, the Materials Management Supervisor will work under the Logistics Section Chief as directed to secure equipment necessary to the operation and maintain control of that equipment in ways deemed essential to the operation as directed by the Logistics Section Chief. If additional labor is required to support the operation, the Materials Management Supervisor, Controller, and Logistics Chief will work together to add labor resources from the labor pool.
