We are looking for a methodical Materials and Warranty Supervisor to lead the Help Desk and manage warranties. The Help Desk is responsible for liaising with customers, documenting and processing their orders, scheduling service and Warranty requests and ensuring that the items are received on time in a fast-paced environment.

Requirements

  • A high school diploma or GED.
  • Computer literacy, including word processing and spreadsheet software.
  • Willingness to receive on-the-job training.
  • An excellent rapport with customers.
  • Excellent written and verbal communication skills.
  • Analytical thinking, and excellent attention to detail.
  • Superb time management skills and the ability to coordinate team activities.
  • Role requires being on site here at HEIBAR during the customers hours of 8am to 4pm Monday thru Friday.

Nice To Haves

  • Prior work experience in a similar field is preferred.
  • ERP experience is preferred.

Responsibilities

  • Receiving orders from customers via mail, phone, or other electronic means.
  • Training of Help Desk
  • Serve as the primary escalation point for customer issues related to orders, scheduling, or warranty concerns; resolve complex or sensitive situations professionally.
  • Provide leadership and coaching to Materials/Warranty support staff and field technicians, including training on Bistrack, Kova, order processing standards, and customer communication expectations.
  • Ensuring all inquiries in Help Desk are answered by the end of each day.
  • Obtaining customers’ details and billing information and entering the information correctly in Bistrack.
  • Preparing invoices, shipping documents, and contracts.
  • Forwarding information to the correct departments for delivery of the order.
  • Reviewing orders for completeness and forwarding incomplete orders for further processing.
  • Matching Invoices with receiving documents and forward to Corporate AP team.
  • Scheduling service and Warranty Field techs daily and updating the customer with Date and time.
  • Accessing job site specific documentation from customers portal for Service and warranty in Kova.
  • Preparing weekly Service and Warranty schedules for field repair techs and updating daily
